Location: Hybrid working pattern: a blend of community outreach, office-based duties, with required travel to venues, sessions, and events across South Essex.
Hours of work:
Wednesday: 9:00 am – 2:30 pm (with a 30-minute unpaid lunch break)
Plus up to 5 additional flexible hours per week, to be worked around external events, community activity, and fundraising events (including occasional evenings or weekends, by agreement)
Contract type: Fixed Contract 52 Weeks
Hours: 10 hours per week
Salary / Rate: £24,570 FTE (pro-rata)

Role Summary
The Volunteer Coordinator (Events & Community) is responsible for coordinating and supporting volunteers who help deliver STRM’s community-based activity, external events, and fundraising work. The role focuses on ensuring volunteers are safely recruited, well-matched, supported, and confident in their roles, and that volunteering activity is organised, inclusive, and aligned with STRM’s values, safeguarding responsibilities, and safer recruitment standards.
The postholder will work flexibly around events and sessions, leading and coordinating volunteer support for STRM’s monthly Wednesday drop-in session, library-based drop-ins, cost-of-living initiatives, and volunteer-led external community and fundraising events.
This role requires excellent organisation, strong interpersonal skills, confident communication, and the ability to maintain professionalism, confidentiality, and kindness at all times.
Main Duties and Responsibilities
Volunteer Coordination & Support
- Lead, attend, and coordinate volunteer support for STRM’s monthly drop-in session, ensuring volunteers understand their roles and feel supported
- Support volunteers to run or assist with volunteer-led sessions, events, and activities, offering practical guidance and reassurance
- Act as a key point of contact for volunteers involved in events and community activity
Community Drop-ins & Outreach
- Coordinate volunteers supporting the library drop-in, including welcoming families and signposting to appropriate STRM and external support
- Ensure volunteers supporting drop-ins understand safeguarding expectations, boundaries, and inclusive practice
Fundraising & External Events
- Support and oversee volunteers managing cost-of-living donation tins and community collection points
- Coordinate volunteer support for external community events and fundraising activities, including planning, set-up, delivery, and close-down where required
Safer Recruitment, Onboarding & Matching
- Work in partnership with the HR & Wellbeing Administrator to support safer recruitment, volunteer onboarding, and induction
- Support the matching of volunteer skills, experience, and availability to appropriate roles and responsibilities
- Ensure required checks, training, and documentation are completed before volunteers begin their roles
Safeguarding, Equality & Good Practice
- Ensure volunteering activity is delivered in line with STRM’s safeguarding, equality, health & safety, GDPR, and safer recruitment policies
- Escalate concerns appropriately and contribute to safe, ethical, and inclusive volunteering practice
Administration & Record Keeping
- Maintain accurate records of volunteer involvement, attendance, and activity
- Support volunteer communications, scheduling, and follow-up
- Contribute to monitoring and reporting on volunteer contribution and impact
Representation & Engagement
- Represent STRM at community events, volunteering forums, and partnership opportunities where appropriate
- Promote volunteering opportunities through local networks and community connections
Monitoring & Reporting
Help gather and interpret data, assist with evaluations, and contribute to monthly impact reporting.
Essential Skills & Experience
· Experience coordinating volunteers, events, or community activity (paid or voluntary)
· Ability to work flexibly, including occasional evenings or weekends
· Strong understanding of confidentiality, GDPR, safeguarding, and equality frameworks.
· Proficient in MS Office (Word, Excel, Outlook).
