Job Purpose & Role Overview


We are seeking an organised, proactive, and detail-oriented Trip Manager to join our Edinburgh-based team. In this role, you will support the seamless planning, coordination, and delivery of luxury travel experiences. As part of our operations team, you will work closely with colleagues, clients and our trip partners/suppliers to ensure every itinerary runs smoothly and exceeds expectations.

The Trip Manager is responsible for all client communication throughout the service lifecycle, ensuring all touch points, from conversion through to final delivery, reinforce brand value and drive client satisfaction.

This position is ideal for someone who thrives in a fast-paced environment, enjoys problem-solving, and has a passion for premium travel and logistics.


Key Responsibilities


Trip Coordination & Logistics
  • Coordinate all operational elements of client itineraries, including accommodation, activities, guides, transport, and special experiences.
  • Manage relationships, bookings and confirmations with suppliers, ensuring accuracy and timely delivery.
  • Maintain operational documentation, schedules, and internal systems to support seamless trip execution.

Client Service & Support
  • Provide an end-to-end service for clients from post booking to travel and return home.
  • Serve as a point of contact for operational queries from colleagues.
  • Ensure all client needs, preferences, and special requirements are reflected and executed in trip arrangements.

Supplier & Partner Liaison
  • Build strong relationships with operational partners and partners to maintain the high service standards in all aspects of trip delivery.
  • Monitor supplier performance and escalate issues where necessary.
  • Support sourcing and onboarding new suppliers as required.

Operational Excellence
  • Contribute to the continuous improvement of processes, resources, and quality standards.
  • Assist with operational reporting, cost tracking, and post-trip reviews.
  • Work flexibly within the operations team to support peak periods and urgent queries.


Skills, Knowledge & Experience


Essential
  • Excellent organisational and administrative skills with strong attention to detail.
  • Ability to manage multiple tasks and deadlines in a dynamic environment.
  • Strong communication skills and a collaborative working style.
  • Confident using digital tools and booking/CRM systems.
  • A proactive, solution-focused mindset.

Desirable
  • Experience in tour operations, luxury travel, hospitality, or logistics.
  • Familiarity with UK travel destinations, suppliers, and premium travel products.
  • Prior experience in a high-service or client-facing environment.
