Details
  •  To undertake clerical and general departmental tasks as necessary to maintain the smooth running of the department, including photocopying, filing and talking and following up on telephone enquiries and messages.
  • To lead on the daily recording of payments and cashing up and banking processes.  Working alongside the finance team to ensure all outstanding invoices and payments are paid.
  • Organising and updating the team’s appointment diaries and schedules and rescheduling appointments as required. 
  • Collating and updating data and medical information for the service users ensuring this is up to date and accurate, including consent for social medial.  Updating the caseload lists. 
  • Managing referrals into the service including sending out initial appointment and service information.  Arranging tours of the facilities where necessary 
  • Typing and formatting medical letters to be sent to external services and other professionals
  • Management of therapy equipment, including stock management, annual servicing and repairs of current equipment and ordering of new or replacement equipment. 
  •  Downloading and storage of clinical videos and pictures of therapy sessions 
  • Inputting and carrying out relevant data analysis of service performance, including therapy outcome measures, service reviews and information about capacity and demand.  Presenting relevant information to the team and senior management team 
  • Organising and managing volunteers who support the service  
  • Supporting therapy manager and team in the use and development of alternative booking systems to optimisation and improve efficacies within session bookings and minimisation impact of cancellations and rescheduling. 
  •  Promotion of service to other health providers and referrers and within the local community. 
  •  Contribute to service improvements and expansion through optimising service pathways and systems 
  • Additional and reasonable requests from your line manager or senior management team may be required.
