Salary: £25,000 per annum, rising to £28,000 at 6 months (linked to capability development)
Hours: Full-time, 35 hours per week (Monday to Friday, 9am-5pm)
Location: Fully remote
Reports to: Digital Operations Manager

ABOUT ANNE HEALTH
Anne Health is a not-for-profit organisation providing private gender-affirming healthcare to trans people across the UK. We believe in human-centred healthcare delivered by real professionals, transparent pricing, and making gender-affirming care accessible and affordable. Everything we do is grounded in warmth, dignity, and genuine care for our community. We operate remotely, with internal clinical and administrative employees supported by contracted prescribers across the UK and the EU.

Our Digital Operations team sits at the heart of that, keeping our systems running, our data safe, and our people supported. We're building this team for the first time, and this is one of two roles we're recruiting simultaneously. It's an exciting moment to join.

PURPOSE OF THE ROLE
This is a hands-on, varied role at the operational core of our digital function. You'll be the person who keeps our systems ticking: managing user accounts and permissions, maintaining our systems records, supporting colleagues with queries and issues, and making sure our digital housekeeping is done properly and consistently. No two days will be quite the same, and we're looking for someone who finds that energising rather than daunting.

KEY RESPONSIBILITIES
Systems Administration and User Management

  • Managing user accounts and permissions across our platforms, including Semble, Breathe, and Google Workspace.
  • Reviewing and maintaining appropriate access levels across systems, flagging anything that looks off.
  • Building and maintaining a systems register, tracking contracts, renewal dates, and key information so nothing slips through the cracks.

Support and Troubleshooting

  • Answering support queries from colleagues via our admin channel, being a friendly, reliable first point of contact.
  • Diagnosing technical issues, working through them methodically, and escalating where needed, always following through to resolution.
  • Knowing when to pause and check before acting, particularly where access, data, or security are involved.
  • Supporting colleagues who aren't particularly technical with patience and clarity.

Asset and Device Management

  • Building and maintaining our asset log, recording device information across the organisation.
  • Supporting our mobile device management (MDM) requirements and contributing to our security audit.

Security and Compliance Support

  • Assisting with our Custodia security and GDPR audit.
  • Maintaining the risk log and flagging items for review by the Director.
  • Running routine data quality checks, including cleaning up inactive or incomplete records, and supporting good data hygiene across our systems.

General Administration

  • Managing enquiries that come through our Google Chat admin channel under our interim policy.
  • Keeping documentation up to date and supporting the Director with information gathering as needed.


PERSON SPECIFICATION
Essential
  • Experience working with digital systems or tools in an administrative or operational context (any sector welcome).
  • Confidence navigating software platforms and a willingness to learn new ones quickly.
  • Good written communication skills: clear, helpful, and professional.
  • An organised approach to managing multiple tasks and priorities.
  • Methodical and thorough, with good attention to detail even on routine tasks.
  • Security-conscious by habit: naturally cautious about access, credentials, and data handling.
  • Calm and patient under pressure, with a supportive approach to colleagues.
  • Comfortable with ambiguity and confident figuring things out in a growing team.

Desirable
  • Familiarity with any of our core platforms: Semble, Google Workspace, Breathe, GoCardless.
  • Experience in a healthcare, charity, or regulated environment.
  • Any exposure to data protection, GDPR, or information governance.
  • Lived experience as a trans person or within the LGBTQ+ community.


WORKING CONDITIONS
  • Fully remote position working from home.
  • Regular video calls and team meetings via video conferencing.
  • Access to necessary equipment and systems provided.
  • Supportive team environment with regular check-ins.
