Our administration team is the backbone of our organisation, providing efficient, reliable, and professional support across all departments. They manage a wide range of tasks including office management, travel arrangements, event coordination, database maintenance, and supporting our accounts, human resources and project teams. Known for their attention to detail, adaptability, and proactive approach, the team ensures that day-to-day operations run smoothly, enabling the rest of the organisation to focus on delivering our mission. Despite being a small team, they consistently demonstrate versatility and a can-do attitude, taking on new challenges with enthusiasm and professionalism.
Job summary:
The Senior Administrator will provide a range of general administrative and clerical support across the organisation, including extensive use of Microsoft Office applications such as Outlook (diary management), Word (reports), PowerPoint (presentations), Excel (spreadsheets), and Access (database management).
The postholder is expected to be highly proactive, taking initiative to identify priorities, solve problems, and ensure tasks are completed efficiently and to a high standard. Administration Team members build and maintain excellent working relationships across the organisation, giving staff confidence in delegating tasks and trusting in reliable, high-quality outcomes.
Key Responsibilities:
Team & Operational Support
- Provide high-quality administrative support across multiple teams.
- Use Microsoft 365 and Teams extensively to coordinate work, manage documentation and support collaboration.
- Prepare reports, presentations and documentation to a high standard.
- Maintain and update shared systems and databases, ensuring accuracy and data integrity.
- Support internal projects with minute taking, planning, coordination and follow-up actions.
Office Support
- Act as a professional point of contact for telephone and reception enquiries.
- Support the smooth running of the Glasgow office.
- Coordinate meeting logistics, room bookings and hybrid meeting set-up.
Travel & Event Coordination
- Arrange travel and accommodation for staff efficiently and cost-effectively.
- Support the planning and delivery of internal and external events.
- Liaise with venues, suppliers and stakeholders to ensure seamless delivery.
HR & Finance Support
- Provide administrative support for Sage Accounts.
- Assist with invoicing, purchase orders and expense processing.
- Work closely with colleagues to ensure accurate and timely financial records.
- Provide general HR administrative support including recruitment and employee lifecycle.
Other Activities
- Participate in regular meetings to share and exchange information.
- Adhere to all internal and external policies, procedures, protocols, and guidelines.
- Keep the line manager informed of all significant operational matters.
- Serve as a key holder, undertaking opening and closing duties of the premises on occasion.
Promote Scottish Drugs Forum (SDF):
- Actively promote SDF’s membership to key stakeholders.
- Maintain an up-to-date skills and knowledge

- Actively participate in supervision, appraisals, and team meetings, and take responsibility for identifying and meeting professional development and training needs.
- Maintain positive and constructive working relationships with immediate colleagues and the wider SDF team, ensuring all staff are kept up to date with relevant issues and developments.
- Maintain confidentiality with sensitive or privileged information, including day-to-day observance of Data Protection guidelines.
- Work outside normal hours, if necessary, with time off in lieu provided.
- Secure premises, including setting alarms, as necessary.
- Have regard for personal health and safety and that of those around them.

* The admin team typically attend the office 2–3 days per week and working at home for the remainder, office attendance and specific days are determined by organisational needs and may vary from week to week. There may be some occasions where attendance in the office is required up to five days per week.
