Position in Organisation:
• Reports To: Retail Manager
• Working Hours: 42.5 hours per week, flexibility required (M - F 0830-1800)
Main Purpose and Scope of the Job:
Reporting into the Retail Manager, the Retail Administrator will be assisting the department in relevant processes and policies, through a mixture of system work, analysis and administration.
The Retail Administrator will liaise with our branches and other departments internally to ensure that the operation runs smoothly and efficiently. On occasion, you will visit stores, with travel taking no longer than a working day.
Key Responsibilities:
• First line support for the Retail Branches and Production Areas; including troubleshooting, head office support, process management and training;
• Management of the Retail Department’s HACCP obligations for all Retail stores;
• Administer the Retail Departments use of SAP 9.1, to include but not limited to;
o Setting promotional deals in preparation for store sales;
o Creation of employee user ID and password for POS access;
o Liaise with the Purchasing department for information to create and edit ‘Item Master Data’, i.e. price, item barcode and description;
o Work with the IT Department to ensure the Retail’s SAP records are correct and
up to date;
• Produce sales data and reports for the Retail Department and Stores;
o Monthly Sales quantity reports, produced in arrears for the Inventory Department;
o Provide the Accounts Department with sales figures for stores, including SP3 and SP11 for verification;
o Compile the sales quantity data for promotional items and send to the Retail Manager for next steps;
• Liaise with different store locations to ensure the fresh food scale machines are accurate and working correctly, including;
o Creation of new items and ensure the correct ingredients and allergens are listed;
o Administer changes including price;
o Ensure the machines are working well and have scheduled maintenance, providing technical support for connections, label miss-feeding and other mechanical errors;
• Conduct stock takes for various items used by the Retail stores and either purchase them or liaise with the internal purchaser for the products, including but not limited to;
o Trays, containers and wrapping wraps for fresh food section;
o Ingredients and some amenities for the Bakery and Kitchen;
o Card rolls, membership cards, box tapes, labels and other retail shop equipment;
o Council provided products;
• Administer the Korea Foods membership scheme, including staff discount cards;
o Work on all aspects of the customer loyalty card (including, but not limited to;
making forms, amending details, checking points for customers);
o Register and provide wholesale membership card for customers in the retail stores;
o Make and distribute the staff discount cards when requested by the HR Department;
• Using existing templates and systems, update design work for price tags, promotional POPs, posters etc. on an ad-hoc basis;
• Responsibility for the POS Maintenance on a non-technical basis, to include;
o Setting up pre-set functions for retail shops;
o Maintenance of label printers and the barcodes;
o Ensuring accurate barcodes through testing with price, item description, VAT and other information;
• In the events items are purchased without barcodes or English language labels, creation of barcodes, item codes and labels to include importer details, ingredients and nutritional information;
• Overseeing, in conjunction with Management, the health and safety, pest control and other miscellaneous legislative factors for a retail environment;
• Customer service at a Head Office level; receiving emails through the Retail inbox and ensuring timely, professional response;
• Any other reasonable management instruction or request.
Person Specification:
• Experience in a similar role is preferred but not essential;
• A full driving licence is beneficial and preferred for the position;
• Excellent verbal and written communication skills – proficiency in the Korean language to is desirable;
• Experience with SAP software and MS Office (MS Excel in particular) is preferred;
• An ability to deliver projects and answer inquiries on time with a positive problem-solving attitude;
• Experience of working in a fast-paced sales environment is beneficial;
• Able to work on own initiative or with others on tasks with minimum supervision in a demanding working environment;
• Have outstanding organisational skills and have a meticulous eye for detail;
• Ability to work under pressure and multi-task;
• Able to communicate effectively with customers and other members of the company.
