Job Purpose: 

The Receptionist plays a key role in creating a welcoming, safe, and well-organised front-of-house experience at The Way Youth Zone. As one of the first points of contact, the role helps ensure that young people, families, staff, partners, and visitors feel welcomed, supported, and appropriately guided when entering the building. Working as part of the reception team, the Receptionist supports day-to-day reception operations, access control, and basic membership processes, contributing to safeguarding, smooth operations, and a positive Youth Zone experience.

Duties and Responsibilities - General

Front-of-House & Reception Service
  • Welcome young people, parents/carers, and visitors in a friendly, professional, and respectful manner.
  •  Provide clear information, guidance, and signposting as required.
  •  Support a calm, orderly reception environment during busy periods.

Access, Sign-In & Membership Support
  • Support sign-in and sign-out processes for young people, visitors, and staff.
  •  Assist with basic membership checks, updates, and renewals under guidance from the Reception & Membership Lead.
  •  Follow agreed procedures to ensure safe and appropriate access to the building.

Safeguarding, Systems & Record Keeping
  • Use reception and membership systems accurately to record attendance and access information.
  •  Follow safeguarding procedures and escalate concerns appropriately.
  •  Handle personal information sensitively, in line with data protection and confidentiality requirements.

Teamwork & Communication
  • Work positively as part of the reception and wider operations team.
  • Take direction from the Reception & Membership Lead and provide cover as required.
  • Communicate clearly with colleagues about issues, incidents, or access concerns.

Person Specification Criteria

Experience and Skills

Essential
  • Experience working in a customer-facing, reception, or front-of-house role (or willingness to learn).
  • Confident communication skills and a friendly, professional manner.
  • Ability to follow procedures accurately and consistently.
  • Willingness to work evenings and occasional weekends

Desirable
  • Experience working in a youth, education, charity, or community setting.
  • Experience using basic digital systems or databases.
  • Awareness of safeguarding in a children and young people setting.

Skills/Competencies
  • Strong customer service and interpersonal skills.
  • Calm and professional approach in a busy environment.
  • Attention to detail when recording information and following procedures.
  • Ability to work reliably as part of a team.
  • Confidence using basic digital systems and tools.
