The Product and Partner Relations Coordinator is key to bringing our trips to life. In this dynamic role you will manage and build relationships with an incredible variety of partners; from securing luxury stays in 5-star hotels to sourcing the cosiest B&Bs tucked away in the UK's most remote and scenic corners of UK.
You’ll be working alongside the team in our vibrant Aviemore office situated in the heart of the Cairngorms National Park.
Role Purpose & Overview
The Product and Partner Relations Coordinator plays a crucial role in ensuring the smooth operation of our trips. Working within the Product and Partner Relations team, you will carry out a range of tasks to ensure all accommodation bookings are completed and logged accurately and on time. You will support the team in fostering strong relationships with our diverse partners and assist the Product and Partner Relations Manager with various tasks as needed. You will also provide direction and support for annual and ad-hoc projects run by the team, ensuring that information sharing between our partners and the wider business is efficient and accurate.
Key Accountabilities
- Ensure booking requests for private clients, groups, and guides are completed and logged accurately and on time.
- Action cancellations arising from custom bookings or those held with larger hotel groups in a timely and accurate manner.
- Drive forward ad-hoc project work and regularly review completed projects to ensure information remains relevant and current.
Key Responsibilities
- Work closely with the Sales and Operations teams to book the necessary accommodations that meet the business’s needs efficiently and accurately.
- Assist the team with the annual scheduling of trip departures as needed.
- Collaborate with the wider Product and Partner Relations team to reconfirm annual hotel reservations and ensure their accuracy on the CRM.
- Ensure that pricing of individual elements from suppliers is requested, recorded, and communicated to the relevant teams as required.
- Assist the team in onboarding new suppliers through follow-up communications and documentation.
- Take ownership of ad-hoc project work as agreed with the Product and Partner Relations Manager and the Head of Product and Partner Relations.
- Deliver all responsibilities within the agreed company timelines.

- Good IT skills with experience in cloud-based CRM systems such as Salesforce, Google Drive and Mac applications.
- Strong administration and organisational skills, with the ability to maintain accuracy even when busy.

- Good interpersonal skills, awareness and emotional intelligence with an ability to develop and sustain internal & external business relationships.

Preferred role-specific Skills, Knowledge & Experience
- Relevant experience, preferably within the hospitality or travel and tourism industry, or equivalent further education, ideally including some relationship management.
- Experience providing constructive feedback and resolving issues via email and phone.
- Interest in and understanding of the UK travel and tourism industry, ideally with a good knowledge of the hotel and accommodation sector.
- Excellent written English.
- Good knowledge of the areas where the Wilderness Group operates. Particularly Scotland, England and Wales
- Practical experience in the activities offered by the Wilderness Group would be an advantage.
