The Lodge Trust CIO is a Christian charity based in the rural village of Market Overton, Rutland. We provide supported living, residential care, day opportunities, and work-based activities for adults with learning disabilities.

About the Role
We are looking for a friendly, organised, and proactive People Operations & Reception Administrator to join our team. This role combines front-of-house reception with essential administrative support across our HR and training functions.
You will be the first point of contact for visitors, residents, and staff, while also supporting the smooth running of our people processes, maintaining accurate workforce records, and coordinating staff training and communication.
This is a great opportunity for someone with strong administrative skills who enjoys a varied role and working with people.
Key Responsibilities
Reception & Customer Service
- Welcome visitors, residents, guests, and staff with warmth and professionalism.
- Answer, screen, and direct phone calls; take and relay messages.
- Manage visitor sign-in and safeguarding procedures.
- Respond to enquiries by phone, email, and in person.
- Maintain a clean, safe, and welcoming reception area.
Administrative Support
- Complete daily office tasks including scanning, printing, filing, and data entry.
- Handle incoming and outgoing mail, parcels, and deliveries.
- Monitor office supplies and assist with procurement.
- Support HR administration, recruitment tasks, and documentation.
- Maintain accurate staff information within Breathe HR (HRIS).
Communication & Coordination
- Create and edit communication materials via Canva (posters, notices, newsletters).
- Support scheduling and posting of social media content.
- Maintain communication logs, contact lists, and key organisational information.
- Assist in communicating updates to resident families and Trustees.
- Provide administrative support for events, meetings, and services.
Resident Support
- Provide friendly, respectful assistance to adults with learning disabilities.
- Support with diary reminders, collecting post, making purchases, and general enquiries.
- Promote independence with patience and compassion.
Staff Training Administration
- Maintain training records across all departments.
- Schedule mandatory and specialist training sessions.
- Manage bookings, attendance, and completion tracking.
- Prepare training materials, certificates, and evaluation forms.
- Update training data using Click Learning.
- Support internal audits and compliance checks.
Staff Induction & Support
- Track and record induction progress for all new starters.
- Ensure documentation is stored accurately.
- Support onboarding tasks and competency assessments through Breathe HR.
Quality & Continuous Improvement
- Gather and review training feedback.
- Assist with ASCWDS updates.
- Support improvements to digital workforce record-keeping and compliance systems.
Person Specification
Essential
- A-level education or equivalent administrative experience.
- 1–2 years’ experience in an office or customer-facing administrator role.
- Strong verbal and written communication skills.
- Excellent organisation and multitasking ability.
- High attention to detail.
- Confident using Microsoft Office and digital systems.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Warm, approachable, and professional manner.
- Reliable, punctual, and able to work independently.
- Respectful and supportive toward adults with learning disabilities.
- Supportive of the Christian ethos of The Lodge Trust.
Desirable
- Experience with HR systems (e.g., Breathe HR).
- Experience with Click Learning or similar training platforms.
- Awareness of care-sector training requirements.
- Experience supporting adults with learning disabilities.
- Knowledge of safeguarding principles.
Work Schedule
- Full-time, 40 hours per week (Mon–Fri, 8:30am–5:00pm).
- Approx. 25 hours per week: Reception & HR Administration.
- Approx. 15 hours per week: Training Administration.
- Occasional support for organisational events (up to two Saturdays per year).
