Role Purpose:

Cashel Travel is one of the leading Destination Management Companies and tour operators in the UK and Ireland. As part of our continued growth, we are looking to recruit an experienced Senior

Operations Executive to join our Luxury FIT Department at our head office in Edinburgh.

This is a operational role within a fast-paced, service-driven department specialising in curated luxury travel throughout the UK and Ireland. You will take ownership of the operational delivery of complex FIT bookings, ensuring every aspect of our client’s journey is delivered to the highest standard. While this role does not include direct line management responsibilities, you will be expected to take ownership of your bookings, support colleagues where appropriate and be a reliable point of reference within the department.

Our Luxury FIT Department creates bespoke journeys for international travellers throughout the UK and Ireland. Every itinerary is individually designed, meaning no two bookings are the same.

This is a busy operational role where you will manage multiple live bookings simultaneously, liaise with suppliers across the UK and Ireland, respond to changing client requirements and ensure every trip operates seamlessly from arrival to departure. Success in this role requires exceptional attention to detail, excellent organisational skills and the ability to remain calm and solution-focused when priorities change.

Key Responsibilities:

  • Book and confirm all ground services throughout the UK and Ireland, including hotels, transfers, private drivers, guides, experiences, restaurants, entrance tickets and other travel arrangements.
  • Liaise closely with hotels, guides, transport companies and other suppliers to ensure all services are booked accurately and according to client’s requirements.
  • Deliver an exceptional level of customer service throughout the booking and travel process.
  • Manage last-minute confirmations, amendments and operational changes efficiently and professionally.
  • Respond quickly to operational issues and identify practical solutions, particularly for clients who are already travelling.
  • Maintain FIT records in accordance with company standards and ensure all databases and booking systems remain accurate and up to date.
  • Prepare and issue accurate client documentation before travel.
  • Review itineraries thoroughly, ensuring timings, services, special requests and booking details are correct.
  •  Issue sales invoices and verify supplier invoices when required.
  • Manage multiple bookings, competing priorities and deadlines simultaneously.
  • Work closely with your line manager and the wider Luxury FIT team to ensure a seamless client experience.
  • Build and maintain an excellent knowledge of hotels, experiences and tourism products throughout the UK and Ireland.
  • Attend training sessions, familiarisation trips and industry events where required.
  • Proactively identify potential operational issues and resolve them before they impact the client experience.

Person Specification

We are looking for someone who understands that working in Luxury FIT Operations requires flexibility, ownership and exceptional attention to detail. This is a busy environment where priorities can change throughout the day. The successful candidate will enjoy working at pace, managing multiple bookings simultaneously and finding solutions to operational challenges while maintaining exceptional customer service.

Travel is an industry where unexpected situations can arise. From time to time, operational emergencies may occur outside normal office hours. These are shared across the team in line with departmental procedures, and any additional hours worked are managed fairly by your line manager through time off in lieu.

Above all, you will take pride in delivering seamless journeys for our clients and ensuring every booking operates successfully from arrival to departure.

Essential skills:

  • Fluent Spanish and English, both written and spoken.
  • Previous experience within a tour operator, DMC, travel agency or Luxury FIT environment.
  • Strong knowledge of the UK and Ireland.
  • Excellent customer service skills with a genuine service-oriented approach.
  • Exceptional attention to detail.
  • Excellent organisational and time-management skills.
  • Ability to prioritise and manage multiple bookings simultaneously.
  • Comfortable working under pressure and meeting deadlines.
  • Confidence in handling last-minute operational changes.
  • Strong problem-solving skills and a proactive approach.
  • Professional telephone manner.
  • A collaborative team player with the ability to take ownership and responsibility for individual bookings.
