Founded in 2020 through a collaboration between The University of Nottingham and Magnetic Shields Limited, Cerca has commercialised the world’s most advanced functional brain scanner — a lightweight, wearable system based on Optically-Pumped Magnetometers (OPMs) that detect magnetic fields generated by brain activity.

Unlike traditional MRI, our scanners allow participants to move freely, enabling new clinical and research insights into conditions such as epilepsy, mild traumatic brain injury (mTBI), and dementia.

As Operations Coordinator, you will play a central role in supporting the smooth and efficient running of daily business operations. You will coordinate schedules, manage administrative workflows, liaise with suppliers and customers, and ensure operational tasks are completed accurately and on time.

You will be a key point of contact across the organisation — supporting operations, administration, customer communications, and management. This is a hands-on role requiring strong organisational capability, clear communication, and a proactive, problem-solving approach.

As Operations Coordinator, you will help drive consistency, clarity, and efficiency across the business. You will ensure that operational activities are well-structured, well-documented, and aligned with company priorities, enabling teams to work effectively and deliver high-quality outcomes.

Key Responsibilities 

Operational Coordination & Delivery
  • Keep day-to-day operations, schedules, and workflows running smoothly across teams.
  • Act as a central point of communication to ensure timely, accurate alignment.
  • Plan, track, and monitor priorities, timelines, and deliverables.
  • Maintain clear records and documentation for transparency, compliance, and audit readiness.
  • Support building, facilities, and general operational housekeeping coordination.
  • Adapt to changing priorities and solve problems hands-on to keep work moving.

Logistics
  • Own UK and international shipments end-to-end, including booking, tracking, and proof of delivery.
  • Prepare and check shipping and customs documentation (invoices, packing lists, weights/dimensions, Incoterms, codes as needed).
  • Coordinate packing, labelling, and dispatch readiness, including hands-on support when required.
  • Maintain shipment traceability and records to support audit readiness.
  • Resolve issues such as delays, customs holds, damage, returns, and claims.
  • Monitor logistics costs and identify practical savings through smarter shipping choices.

Project and Product Service Coordination
  • Coordinate and track operational aspects of system services and deliveries, with clear reporting.
  • Ensure teams have the right materials and readiness for service visits.
  • Coordinate supplier orders, quotes, delivery tracking, and follow-ups.
  • Handle customer and supplier queries professionally and drive them to resolution.
  • Apply practical commercial judgement when working with vendors and service providers.

Administrative & Project Support
  • Provide admin support to the Senior Project Manager and leadership team.
  • Maintain documentation control across projects and operations.
  • Support project management activities such as meeting coordination, notes, action tracking, and follow-through.
  • Keep shared drives, trackers, databases, and operational systems accurate and up to date.
  • Support basic financial admin such as PO processing and cost tracking.

Process Development & Continuous Improvement
  • Help create, refine, and embed SOPs, work instructions, and repeatable operational processes.
  • Identify bottlenecks and drive practical improvements that increase consistency and reduce effort.
  • Improve speed, accuracy, traceability, and audit readiness as the business scales.
  • Support project management improvements by standardising templates, handovers, trackers, and reporting.
  • Contribute to continuous improvement initiatives across the organisation.

Desirable Skills & Experience
  • Experience working to quality standards such as ISO 13485 or ISO 9001.
  • Experience in supplier coordination, logistics, or order processing.
  • Familiarity with scheduling or project management tools (e.g., Asana).
  • Experience in or qualification in project management 
  • Experience supporting audits, operational process development, or continuous improvement.
  • Interest in operations, efficiency, and practical workflow optimisation.
