Salary: Pro rata £25,500 - £28,000 depending on experience

Job Purpose
The Operations & Admin Assistant provides reception, bookings, administration, and communications support across public programmes. You will be the welcoming face of the cluster, manage booking systems, and support smooth coordination across education, dome, and events activities.
Main duties and responsibilities
• Greet visitors online, via phone calls and face to face, providing information and signposting to programmes, answering general enquiries and emails, handling visitor queries and directing to appropriate staff, and maintaining welcoming and professional relationships at all times.
• Support visitor accessibility and inclusion, ensuring all visitors feel welcome and can access cluster programmes and facilities.
• Manage booking systems for dome, meeting rooms and event spaces, coordinate booking requests to avoid diary conflicts, and process bookings for schools' programme, public dome and room hire.
• Maintain master cluster calendar/diary, send booking confirmations, reminders and follow-ups, and support Dome & Events Manager with event logistics and coordination.
• Provide general administrative support for public programmes team including data entry and database management for CRM, booking systems and mailing lists, filing, correspondence and document management.
• Support Education & Community Coordinator with schools’ bookings and registration admin, support Dome & Events Manager with event planning admin, and coordinate with Marketing Manager on mailing list management.
• Process invoices and purchase orders for public programmes team, track income from bookings, events and public dome, manage basic financial record-keeping, reporting and petty cash.
• Support Marketing Manager with social media scheduling and content, update website with events and programme information, create basic promotional materials using templates, distribute e-newsletters, and support photography and documentation of events and programmes.
