We are now seeking an Office Administrator to join our Facilities Team at this pivotal time.
As a specialist charity supporting survivors of sexual violence across twelve South London boroughs, we provide counselling, group therapy, advocacy, prevention education, and professional training. With an annual income of approximately £4 million, we are growing and strengthening our infrastructure to better serve survivors and communities.
About the Role
As Office Administrator, you will play a vital role in ensuring our organisation runs smoothly, safely, and efficiently. Working within the Office & Facilities Team, you will provide high-quality administrative, compliance, and operational support across the organisation.
Key Responsibilities
Records & Compliance
- Maintain and update staff training records, Health & Safety documentation, and equipment registers
- Ensure certificates, compliance records, and training dates remain current
- Coordinate IT, phone, and equipment provision with suppliers
- Issue staff IDs, access cards, and keys
Digital Systems & Information Management
- Maintain organisational databases and digital filing systems
- Manage SharePoint folders and ensure documents are accessible and up to date
- Support staff with document retrieval and information management
Finance Administration
- Process invoices for approval
- Maintain accurate credit and debit card records
- Liaise with the Finance Team to resolve queries and ensure timely payments
- Maintain clear administrative audit trails
Office & Stock Coordination
- Monitor stock across both sites and reorder supplies
- Maintain stock usage and delivery records
Internal Communications
- Prepare and circulate internal updates (in collaboration with the Communications Team where appropriate)
- Support organisational notices and communications
Events & Meetings
- Maintain event logs and planning documentation
- Support scheduling, preparation, and administration for meetings and events
Facilities & Health & Safety
- Maintain building compliance records (including fire safety documentation)
- Coordinate maintenance and monitor outstanding actions
- Support fire drills and alarm testing
- Book Health & Safety training and track attendance
- Act as a site first aider (training provided if required)
- Provide reception cover when needed
Project & Reporting Support
- Assist with project documentation, data collection, and reporting
- Maintain project logs and update templates
Inbox & Phone Management
- Monitor shared inboxes and redirect or respond to queries
- Provide first-line administrative support for incoming calls
About You

Essential Qualifications
- IT qualification or demonstrable competence in Microsoft Office and digital systems
- Willingness to undertake training in Health & Safety, safeguarding, and first aid
Essential Skills & Experience
Administration & Organisation
- Experience in an administrative or office support role
- Strong organisational skills and ability to manage competing priorities
- Experience maintaining accurate records and compliance documentation
Digital & Systems
- Proficiency in Microsoft Office (Outlook, Word, Excel, Teams)
- Experience using SharePoint or similar systems
- Confidence managing databases and digital filing systems
Communication
- Clear and professional written and verbal communication
- Ability to liaise effectively with staff, suppliers, and stakeholders
- Experience handling sensitive and confidential information
Operational Support
- Experience with record processing and basic financial administration
- Ability to maintain accurate audit trails
Desirable
- Experience supporting Health & Safety or facilities administration
- Experience coordinating equipment or property maintenance
- Willingness to act as a qualified site first aider
Knowledge
- Understanding of administrative best practice
- Awareness of GDPR and confidentiality requirements
- Basic understanding of workplace Health & Safety responsibilities
- Appreciation of compliance and accurate record-keeping
