Job Title: IT Administrator
Reports to: Head of Business Operations
The IT Administrator acts as the primary liaison between HFL staff and the external IT provider, providing first-line technical support while ensuring IT operations run smoothly and securely. This role includes responsibility for IT asset and access management, cyber security monitoring, vendor coordination, and support for operational platforms and online banking. The Analyst will also contribute to policy adherence and monitoring, compliance training, and information security best practices.
Key Responsibilities:
IT Support & Systems Access
· Serve as the first point of contact for all IT-related issues, delivering immediate and responsive support to minimise downtime.
· Set up new users with appropriate IT equipment, software access, and system permissions; manage leavers by revoking access, completing checklists, and collecting assets.
·Troubleshoot, and take ownership of, any IT related issues and see them through to resolution, escalating where necessary to ensure timely problem solving.
·Maintain and regularly review the user access matrix across all platforms, including banking systems, to ensure appropriate access rights and regulatory compliance.
· Manage and maintain the information asset register and physical asset register, ensuring they are up to date.
·Monitor and triage operations requests, resolving or escalating tasks as needed.
·Provide induction training to new users on in-house applications.
Cyber Security & Information Assurance
· Work closely with the IT provider and vCISO to:
-Review vulnerability reports weekly and coordinate with the IT provider to ensure timely patching of all affected systems and devices.
-Run and report on phishing simulations in partnership with vCISO, including user response metrics.
-Maintain and review various cyber security related reports.
·Coordinate the rollout of training each year, selecting relevant content and ensuring completion across the business.
·Record and circulate minutes of monthly vCISO calls, ensuring action points are tracked.
· Manage ongoing tasks from the action list, including service account password resets, backup and recovery testing, and regular access reviews.
Operational Tasks
· Maintain the IT knowledge base to support troubleshooting and knowledge sharing.
·Maintain and manage the parking rota for staff use.
· Review IT related invoices, confirming charges are correct and resolving any discrepancies.

· Highly organised with strong time management, prioritisation, and documentation skills to manage competing tasks effectively.
Qualifications and expertise:
· 2-3 years of relevant experience in a similar role.
·Sound knowledge of Microsoft applications with a desire to keep up to date with new systems.
·Excellent interpersonal skills, with the ability to deal effectively with staff at all levels in order to provide an excellent level of customer care.
