Role Summary
The HR & Wellbeing Administrator ensures the smooth, lawful, and compassionate operation of HR across STRM, working within a small team to maintain accurate staff records, coordinate safer recruitment and training, support wellbeing and appraisals, and promote a positive, healthy culture in line with STRM’s GUIDE Values.
Main Duties and Responsibilities
The post holder will uphold STRM’s Safeguarding, Equality, and Inclusion policies, ensuring the welfare of children, young people, and families.
Recruitment
Coordinate end-to-end recruitment in line with STRM’s Safer Recruitment Policy, including adverts, shortlisting, interviews, and offer documentation while completing pre-employment checks (references, DBS, right-to-work), maintaining safer recruitment and training records, and preparing contracts, induction packs, and probation reviews to ensure a smooth onboarding process.
Onboarding, Induction, and Appraisals
Prepare contracts, induction packs, and HR documentation for new starters while scheduling and supporting inductions, supervisions, and probation reviews, and delivering and supporting the appraisal process by preparing documentation, tracking completion, and ensuring outcomes are logged for reflection and development.
HR Records, Compliance, and Policy Management
Maintain accurate, confidential HR and volunteer records in STRM’s HR system and Lamplight CRM, ensuring all HR activities comply with GDPR, safeguarding, and employment requirements.
Employee Relations and Wellbeing
Act as the first point of contact for staff and volunteer wellbeing queries, promoting supportive communication and signposting to internal and external support while maintaining the Workplace Stress Policy and wellbeing check-in records and supporting all documentation required for investigations, grievances, or mediation processes.
Training, Learning, and Development
Coordinate mandatory and role-specific training, maintaining an up-to-date training matrix and tracking completion of safeguarding, GDPR, equality, health & safety, and safer recruitment training.
Leave, Benefits, and HR Administration
Track annual leave, absence, and TOIL while supporting benefits administration and general HR queries and preparing HR letters, reports, and summaries for the CEO and Trustees.
Collaboration and Continuous Improvement
Work collaboratively with trustees, staff, and volunteers to uphold STRM’s GUIDE values while supporting HR projects and organisational development initiatives, contributing to annual HR reviews, equality reporting, and governance compliance, and undertaking any other duties consistent with the role.
Person Specification
Essential Skills & Experience
- Minimum 2 years’ experience in an HR Administrator or similar role.
- Understanding of HR processes, confidentiality, and GDPR.
- Familiarity with safeguarding and equality frameworks.
- Safer Recruitment training (or willingness to complete within probation.
- Proficient in MS Office (Word, Excel, Outlook)
- Experience supporting appraisals, supervision, or performance reviews.
- Understanding of basic employment law and HR compliance requirements.
- Strong organisation and time management skills.
- Able to communicate in ways that support connection and understanding, using different methods when needed.
- Excellent interpersonal skills with empathy and discretion.
- Commitment to STRM’s GUIDE Values and inclusive safeguarding culture.
