Hires and Events Strategy

  • Strategy and Growth: Implement sales and marketing strategies for venue hire to achieve revenue growth and meet income targets. Proactively sell the venue and package events to new clients and identify opportunities for growth to maximise income for the organisation.
  • Relationship Management: Cultivate, maintain and strengthen relationships with new and returning hirers, visiting companies, and external industry networks.
  • Marketing: Collaborate with the marketing team to enhance the online presence of the events business, ensuring alignment with the Bush Theatre’s brand and mission. Build a profile locally and within the wider region to encourage the use of Bush Theatre hire facilities.
  • Data Analysis: Analyse sales activity and KPIs to inform business decisions and contribute to reporting for Board papers or stakeholders as needed.

Hires and Delivery

  • Enquiry Management: Act as the first point of contact for all hire and event enquiries, ensuring timely and efficient responses.
  • Site Visits: Undertake visits for prospective hires, liaising with Stage Managers or the Head of Technical and Buildings as required to access spaces.
  • Negotiation and Contracting: Manage the sales and booking process, negotiating hire quotes and contracts to maximise income while ensuring all costs are covered.
  • Hires Coordination: Ensure all Venue staff are fully briefed on upcoming events in a timely manner and collaborate with the Cafe Bar Manager on catering and hospitality requirements.
  • Health and Safety: Oversee risk assessments for the safe delivery of events, adhering to the Bush Theatre's Health & Safety policies and liaising with the Head of Technical and Buildings.

Event Programming and Coordination

  • Sourcing: Seek and cultivate relationships with artists and companies for potential inclusion in the Bush Theatre’s Events Programme (called ALT-B), ensuring a pipeline of high-quality work. 
  • Programming: Programme a regular series of events to support bar activity and community engagement, reflecting the world we live in.
  • Contracting: Negotiate deals and contracts for artists, producers, and visiting companies in line with artistic strategy and union terms
  • Operational Liaison: Act as the lead operational contact for artists and visiting companies while onsite. Triaging queries and escalating to the appropriate teams.
  • Event Coordination: Coordinate and support the delivery of all Events Programmed as part of the ALT-B season and additional production-related activity, including on-site development and research (R&D) activity, press nights, supporters’ nights and associated ancillary events, working closely with Producing, Literary, Development, Community, Marketing, Technical and Venue teams.
  • Diversity Monitoring: Evaluate the demographics of participants in event programming to ensure the work represents the diverse communities the Bush engages with.
  • Policy Alignment: Actively develop and implement green policies and practices for all events and programming.

Venue Management

  • Venue management: Act as a designated day manager and keyholder, responsible for opening the building and overseeing the safe operation of the venue during hires and events.
  • ​Event delivery: Manage the venue on-site to enable the delivery of hires, rehearsals and events, acting as the primary point of contact while on duty.
  • Health and safety: ​Hold responsibility for health, safety and emergency response during shifts, including fire checks, incident management and evacuation procedures.
  • ​Visitor experience: Provide venue and visitor management for in-house and external events, including regular evening and weekend working​, ensuring a professional and welcoming experience that supports repeat business and income generation.

Administration and Finance

  • Systems Management: Manage event booking and CRM systems and maintain robust data collection.
  • Event Documentation: Prepare detailed event run sheets and management schedules to ensure work is communicated to the team.
  • Scheduling: Create and maintain the building schedule.
  • Finance: Ensure all hires, visiting companies and visiting artists are appropriately contracted and manage the issuing of invoices and settlements.
Budgetary Control: Monitor income and control expenditure against budgets, working with the Head of Finance to ensure the Executive team is kept informed.
