JOB ROLE
This is a senior position, responsible for the smooth running of the organisation’s day-to-day finances and financial reporting, working closely with the Chief Executive and the Finance Committee of the Board of Trustees. As part of a small staff team, the responsibilities are diverse: from financial processing and monitoring cash flow, to business modelling and reporting to Trustees and funders.

This is a key role within our growing and ambitious organisation, particularly as we seek to diversify our income streams and grow our activity as we recover from the impact of the pandemic. We are seeking someone with a relevant accounting background, demonstrable financial expertise, excellent communication skills, a sharp eye for detail, able to work both independently and as a key part of our team, and who can deftly manage multiple priorities.

It is also envisaged that in time the post holder will also assume Company Secretary role for Antarctic Heritage Ltd and may be asked to manage retail-focused staff members.

KEY RESPONSIBILITIES
• Take responsibility for the financial planning, documentation and reporting for the Trust and trading subsidiary.
• With the Chief Executive, set and monitor annual and project budgets, reporting quarterly to the Finance Committee on financial performance and projections.
• Process transactions and payments, monitor our ledgers, maintain cash flow forecasts, manage restricted funds, carry out bank reconciliation.
• Analyse and reconcile sales information from our EPoS system and other sources of trading income.
• Work with colleagues to ensure grants, donations and sponsorship payments are claimed to an agreed schedule, manage related Gift Aid/HMRC claims.
• Streamline and develop financial policies, systems, records and procedures to improve efficiency and enhance communication.
• Provide financial information and budget forecasts to support business planning, funding applications and reporting.
• Provide regular sales reports and analysis on trading activity.
• Liaise with our accountants and auditors at year end, providing all requested financial documentation.
• Ensure that quarterly VAT payments are processed accurately and to deadline.
• Ensure timely and accurate payroll processing including payments to HMRC and pension providers.
• Ensure best value across all goods and service contracts.
• Ensure the most efficient and environmentally-responsible use of resources.
• Ensure timely reporting to Companies House and the Charities Commission as required.
• Work as a valued member of our team to deliver our organisational goals.

The role will be part time and to a mutually agreed weekly schedule, 3 days/22hrs per week. We are supportive of flexible working and will work with you to find the right balance which works for both us and you. We envisage a blend of home and office working and would warmly welcome you in our office in Cambridge.

ABOUT YOU
• You hold a relevant accounting qualification CIMA/ACCA/ACA or qualified by experience.
• You are advanced in the use of accounting packages (we use Xero) and Excel with a good understanding of bookkeeping and management accounting best practice.
• You can prepare clear management accounts and accompanying analysis and reports.
• You have a track record of financial planning, budget management, cash flow forecasting and monitoring.
• You have experience in the charities sector and understand grants management, restricted funds and donors.
• You are familiar with handling and analysing sales data.
• You are knowledgeable in the requirements of company and charity law relating to the management and presentation of financial records and the maintenance of reserves.
• You are able to take the initiative and take responsibility for projects.
• You have strong communication and interpersonal skills and are especially good at distilling complex data into clear summaries.
• You have strong organisational skills and able to manage multiple and competing deadlines.
• You are positive, proactive and have a flexible approach.
