Job Purpose and Scope


The Grants Officer supports the growth of unrestricted and restricted grant income for Scottish Refugee Council, with a particular focus on charitable trusts and foundations across Scotland and the UK. The role supports the delivery of a portfolio of trust and foundation funding through researching and tracking grant opportunities, developing high-quality funding applications, and assisting with funder reporting and relationship management.

The post sits within the Operations Directorate as part of the Funding Development team. Working under the direction of the Funding Development Manager and in collaboration with colleagues across the organisation, the postholder helps ensure funding activity is well coordinated, accurate and timely. The role does not have line management or budget management responsibility.

Key responsibilities


Support the delivery of a rolling programme of small and medium-value applications for grant funding to charitable trusts and foundations. This will include researching and tracking relevant funding programmes and opportunities, maintaining accurate records, and contributing to agreed funding plans and timelines.

Contribute to the delivery of the organisation’s trust and foundation funding portfolio by supporting the development of funding ideas and proposals, working to agreed deadlines and targets. The postholder will work closely with the Funding Development Manager and project leads to gather information, draft sections of applications, and support the submission of clear, accurate and persuasive proposals.

Grant management
·        Support the management of grant awards by interpreting and recording funder requirements and assisting with compliance with funder terms and conditions.
·        Help maintain grant reporting schedules and liaise with internal colleagues to ensure required operational and financial information is collected on time.
·        Provide practical support to teams with data collation, monitoring and evaluation activity, and the preparation of narrative and financial reports to funders.
·        Ensure reporting information is accurate and consistent with funding agreements and organisational records.

Networking and funder engagement
·        Support plans to engage potential charitable trust and foundation funders, working with the Funding Development Manager to identify appropriate opportunities.
·        Contribute to establishing and maintaining positive relationships with existing funders through professional, timely and accurate correspondence.
·        Respond promptly to funder enquiries and opportunities, ensuring a consistently high standard of written communication.

Internal recording and reporting
·        Maintain accurate, up-to-date and complete grant funding records within the organisation’s agreed systems, including applications, awards, reporting deadlines and correspondence.
·        Update and manage grant tracking tools to support oversight of funding pipelines and reporting requirements.
·        Support internal reporting on grant activity by providing clear and reliable data to colleagues and managers.
·        Flag upcoming deadlines, data gaps or inconsistencies to the Funding Development Manager in a timely way.

Additional Responsibilities

·        The postholder may be required to undertake other duties appropriate to the role and grade, as agreed with the Funding Development Manager.

 This is a fixed term role until 31 March 2028.
