The Role
We're looking for an organised, confident Document Controller / Technical Administrator to be the go-to person for admin across our North East office.
You'll run the day-to-day admin across the site and keep our North East projects on track, making sure the team has the right information, in the right place, at the right time.
This is a varied role for someone who likes structure and gets things done. You'll be responsible for how the office runs and how project information is managed, working closely with the Project Manager, Design Manager, site teams, contractors and suppliers.
What You'll Do
Office & Site Administration
- Run the North East office day to day, so it works smoothly for everyone based there
- Manage admin across the site, including facilities, supplies, equipment and office systems
- Be the first point of contact for visitors, suppliers and general enquiries
- Support onboarding for new starters based at the North East office
- Keep office processes simple, consistent and documented
Project Coordination
- Support the Project Manager and Design Manager with the day-to-day running of projects
- Track actions, deadlines and outstanding items, and follow up to keep things moving
- Prepare meeting agendas, take minutes and circulate actions
- Coordinate information between the project team, contractors, suppliers and external stakeholders
- Pull together regular project status updates and reports
Document Control Support
- Keep project information organised and up to date in SharePoint
- Maintain project registers, including document, drawing and correspondence registers
- Make sure the team is always working from the latest approved version of documents
- Issue documents to contractors and stakeholders and keep a clear record of what's been sent
- Help pull together handover information, including test records and O&M documentation
Requirements
- Experience in a technical, project or office administration role
- Experience in construction, engineering, utilities or infrastructure, or a similar project-based environment
- Confident using Microsoft Office, particularly Excel, and SharePoint or a similar system
- Highly organised, with strong attention to detail
- Able to juggle competing priorities and keep multiple people on track
- A confident communicator who's comfortable following up with engineers, contractors and suppliers
Nice to Have
- Experience working on energy, utilities or ICP projects
- Some exposure to document control, registers or version control
- Familiarity with project paperwork such as RFIs, RAMS or handover documentation
- Experience setting up or improving office processes in a growing business
Health, Safety and Compliance
At Alconex, safety is not a separate function - it is a core responsibility for everyone.
All roles are expected to:
- Act in accordance with Alconex SHEQ policies and procedures
- Take personal responsibility for health, safety and environmental standards
- Challenge unsafe behaviours and conditions
- Contribute to a zero-harm culture across the business
How We Work
We are a values-led organisation and expect our people to work with integrity, professionalism and accountability.
This means:
- Taking ownership of outcomes, not just tasks
- Communicating clearly and respectfully
- Making commercially sound decisions
- Working collaboratively across teams and disciplines
- Continuously improving how we operate

A note to recruiters: We work with a defined Preferred Supplier List and aren't accepting speculative agency introductions at this stage. Thank you for your interest in working with Alconex.
