We are looking for an experienced Customer Service and Logistics Coordinator to help support our ever growing customer base.

About the role:
 
Due to expansion of the Company through recent acquisitions we are looking to strengthen our Customer Service and Logistics function to ensure we are able to meet our customer needs and continue to provide excellent customer service. The role will support the Sales team with customer enquiries and request, developing and maintaining customer relationships. Alongside the customer service responsibilities the team are also responsible for the export order processing and logistics ensuring our customers receive their goods inline with SLAs and regulatory processes.
 
Responsibilities:
 
Customer Service

  • Ensure that customer standards and requirements are understood and met across the company and that the Company Values for Customer Relationship Management and Customer Service are maintained in all dealings with customers.
  • Create regular opportunities to improve the service offered by the department to the rest of the business and to customers.
  • Provide cover for other Customer Service Coordinators in their absence and manage their email inbox and workload as required during their absence.

Export Order Processing & Logistics

  • Process UK, European and Export Sales Orders efficiently on EPICOR and ensure that an order confirmation is sent to the customer for every order upon agreement of the dispatch date with the Production Department.
  • Acknowledge customer enquiries and orders within a reasonable timescale (24 hours max), sending a holding message if the enquiry cannot be dealt with immediately, advising when a full response will be available.
  • Ensure accurate transport documentation is issued for each order in line with Department of Transport, ADR, IMDG and IATA requirements. Be alert to changes in relevant legislation and regulations and undertake training to keep understanding and knowledge up to date.
  • When planning customer deliveries, take time to think about the different options available to consolidate orders to ensure the most cost-efficient delivery schedule that also meets the customer’s needs. 
  • Maintain stock management spreadsheets and consignment stock spreadsheets, ensuring that quantities used are invoiced on a monthly basis and that the distributor maintains accurate stock levels to allow them to supply the requirements of their local market.
  • Maintain relationships with relevant suppliers and hauliers. Negotiate freight rates and source new suppliers as and when necessary.

Maintaining Customer Records

  • Ensure that customer details in EPICOR and GTA are kept up-to-date and accurate at all times with customer information.
  • Ensure accurate filing of order documentation and archiving so that files are kept for 6 years after invoice date and are accessible during this period by internal or external sources, such as auditors or HMRC auditors as required.

Sales Support

Support Sales Managers where required assisting in sample processing, brochure dispatch, sales reports, forecasting and basic quotations.
 
About you:
 
Qualifications: A minimum of 5 GSCES including English and Maths is required for the role. MIEX (Grad) is desired or at least the willingness to undertake the IOE Diploma in International Trade Courses.
 
Experience: Experience of UK export order processing and documentation management within a manufacturing company is a requirement for the role. It would be desirable to have further European language skills but this is not a requirement for the role.
