Moving Ahead is looking to hire two Client and Programmes Coordinators. Each role will have the flexibility to focus on different areas of the responsibilities outlined, depending on individual strengths and team needs.
Job purpose
The Partnerships and Programmes Coordinator plays a key role in supporting the delivery of strategic programmes, events and client engagement activity. Working across both the Programmes and Business Development teams, this role offers hands-on experience across operations, communications and client engagement.
It’s a varied and fast-paced role, one day you might be supporting event logistics or client communications, the next helping with Client Relationship Management (CRM) software updates or client outreach. You’ll need to be adaptable, organised and proactive with the ability to manage shifting priorities and work with a range of stakeholders.

Key accountabilities
Event coordination:
- Manage the end-to-end planning, logistics and administration of numerous virtual and in-person events as well as brand building initiatives
- Provide on-site and virtual support at events, ensuring smooth delivery
- Coordinate logistics with external contributors such as professional speakers, facilitators and partner organisations
- Support the production of event materials and resources
- Join calls and meetings, capture actions, and track progress through to completion
- Administer post-event surveys, collate and analyse feedback
General Team support:
- Provide day-to-day administrative support to the Programme Delivery and Business Development teams, including but not limited to scheduling meetings and managing actions, updating key documents, managing central inboxes and liaising with clients
- Closely support the matching of mentees and mentors who are participating in Moving Ahead’s mentoring programmes with a particular focus on information management and coordination of internal colleagues
- Provide administrative and tracking support for industry award submissions
- Support diary and meeting coordination for senior team members where required, ensuring strategic priorities are effectively scheduled.
Business Development Coordination:
- Schedule and coordinate new business meetings, record actions and monitor deadlines
- Assist with external communications, including business development mailouts, newsletters and client updates
- Maintain accurate records of leads, prospects and client interactions in the CRM
- Use CRM data to prepare mailing lists, monitor client engagement and generate reports
- Manage shared inboxes, responding to enquiries and directing messages appropriately
Knowledge, skills and experience required
Essential:
- Strong organisational skills with the ability to manage multiple workstreams and deadlines simultaneously.
- Experience coordinating events (virtual and/or in-person), including logistics and stakeholder liaison
- Clear and confident communicator, both written and verbal, with a professional and client-facing demeanour
- Proactive, detail-oriented, and dependable — comfortable taking ownership of tasks and seeing them through.
- Comfortable working with digital tools including Microsoft Office (particularly Excel and PowerPoint)
- A collaborative team player with a willingness to learn and support colleagues across varied functions.
Desirable:
- Prior experience in an administrative, marketing, events, or client support role.
- Familiarity with HubSpot and Mailchimp.
- An interest in business development, marketing, or programme management.
- A strong alignment with the organisation’s mission, values, and purpose-led approach to partnerships and delivery.
- Experience of supporting senior team members with diary and meeting coordination
