We are seeking a skilled Administrator to join our Admin and Operations team to take on a range of administrative and bookkeeping responsibilities. The ideal candidate will possess excellent organisational skills, strong attention to detail and a high level of discretion. This role requires a proactive person capable of managing multiple tasks efficiently.
Key Responsibilities:
- Perform basic bookkeeping tasks, including tracking expenses, managing invoices and purchase orders, and reconciling accounts.
- Manage scheduling and calendar coordination, including appointments and meetings.
- Provide comprehensive administrative support to the Leadership Team and Board of Trustees, including document preparation, scheduling meetings, calendar coordination when required. Minute taking skills are desirable.
- Assist with administrative tasks related to subject access requests (SARs).
- Maintain and organize confidential files and records with high attention to detail.
- Act as a point of contact for stakeholders, ensuring smooth communication and coordination.
- Prepare financial reports and summaries as needed, ensuring accuracy and completeness.
- Assist in ensuring financial records are up-to-date and compliant with relevant regulations.
- Support special projects and events as required, demonstrating flexibility and adaptability.
- Provide cover for Reception duties when required.
Qualifications:
- Proven experience in a similar role, preferably supporting executives.
- Strong proficiency in office software, including Microsoft Office Suite and ideally accounting software.
- Excellent organizational skills and attention to detail, with the ability to manage multiple tasks and priorities effectively.
- Exceptional communication skills, both written and verbal, with a professional and courteous demeanour.
- Fluent in English.
- Discretion and confidentiality in handling sensitive and private information.
Additional Information:
- The role demands flexibility and adaptability to accommodate a variety of tasks and responsibilities.
- This role can be full-time or part-time, with part-time hours covering approximately 25- 30 hours per week. The role can be hybrid, but with at least 3 days in the office.
