Join Northamptonshire Carers and make a real difference to the lives of carers and vulnerable people across Northamptonshire.

An exciting opportunity has arisen within the Administration Team at Northamptonshire Carers. Our Charity supports unpaid Carers throughout Northamptonshire. The Administration team is based in our Head Office in Wellingborough.

Administration for us is a fast paced, dynamic environment where no two days are the same. As in all organisations, there is a list of tasks to be done every day – and then there are the irregular, unexpected challenges the day brings.

The role involves liaising with unpaid Carers and professionals, so the successful candidate will be both professional and empathetic. Training and support will be provided – but you must be confident to think on your feet, prioritise effectively and take on whatever happens in this role, supported by your colleagues.

The successful candidate will be highly organised, calm, adaptable, and able to think on their feet. They will be confident working in a busy environment where priorities can change quickly, possess excellent communication and IT skills (Microsoft Office 365), curiosity and a commitment to delivering high-quality, compassionate support to Carers and colleagues alike.

Key Responsibilities

·       Work collaboratively and professionally as part of the Administration Team and wider Northamptonshire Carers team to support the effective delivery of the organisation’s services.

·       Provide a professional and welcoming front-of-house service, acting as a positive representative of Northamptonshire Carers for staff, visitors and other contacts.

·       Respond sensitively and professionally to enquiries received by telephone, email and other communication channels, resolving queries where appropriate, liaising with relevant colleagues and escalating matters when required.

·       Enter and maintain accurate contact and statistical data, using records to support effective analysis, monitoring and reporting.

·       Develop and maintain a strong working knowledge of the organisation’s IT systems and digital platforms, using these effectively to support the delivery of day-to-day responsibilities.

·       Support the development and maintenance of paper-based and website information, ensuring content remains accurate, relevant and up to date in line with service developments.

·       Provide basic troubleshooting support for staff and office IT equipment, including phones and laptops, escalating technical issues to the appropriate support provider when necessary.

·       Support the safe and effective running and security of the office by monitoring equipment, facilities and supplies, noting and escalating issues as appropriate, supporting Health and Safety and Fire Safety procedures, and ensuring a tidy, organised and welcoming working environment.

·       Ensure compliance with Information Governance, Data Protection and Safeguarding requirements, following organisational policies, procedures and standards at all times.

·       Participate in team meetings, team-building activities and wider organisational events, contributing to a positive, inclusive and supportive workplace culture and demonstrating the values and behaviours of Northamptonshire Carers.

·       Participate in regular supervision meetings, making effective use of supervision and seeking additional guidance or support when required.

·       Take responsibility for ongoing learning and professional development, attending relevant training, workshops and other development opportunities appropriate to the role.

·       Promote and uphold Northamptonshire Carers’ commitment to equality of opportunity, demonstrating respect for and awareness of individuals’ behavioural, physical, social and welfare needs.

·       Undertake other reasonable duties as requested by the Management Team, in line with the needs of the organisation and the scope of the role.

This job description is intended to outline the main duties and responsibilities of the role and may be reviewed and amended to meet the changing needs of the organisation.
