PURPOSE OF ROLE

The Finance Assistant – Accounts Payable will provide effective administrative and financial support to the Finance Team, with a particular focus on accounts payable processes and the accurate recording and reconciliation of financial information.

The postholder will play an important role in ensuring invoices are processed promptly and accurately, supplier accounts are maintained, and financial information is recorded appropriately. The role will work closely with colleagues across the Theatre and will provide holiday cover for Accounts Payable when required.

The role is offered at 16 hours per week, with flexibility around the days worked. Ideally, the successful candidate will work 4 hours per day, across 4 days per week. Monday and Tuesday are essential working days due to the requirements of invoice processing, with flexibility around the remaining two days.

This is a hands-on role within a small and dedicated Finance Team.

KEY OBJECTIVES

  • Support the Finance Team with accurate and timely accounts payable processing.
  • Process supplier invoices efficiently using Lightyear AP software.
  • Maintain accurate financial records and support reconciliations.
  • Assist with the recording and monitoring of catering income.
  • Provide holiday cover for Accounts Payable.
  • Support the wider Finance Team with additional administrative and financial tasks as required.

RESPONSIBILITIES

Accounts Payable & Financial Administration

  • Process supplier invoices using Lightyear AP software.
  • Process and record credit card statements using Access.
  • Reconcile supplier statements to the purchase ledger and investigate any discrepancies.
  • Ensure invoices and supporting documentation are processed accurately and in a timely manner.
  • Assist with maintaining accurate supplier and financial records.
  • Provide holiday cover for Accounts Payable activities.
  • Support the Finance Team with general financial administration as required.

Income & Reconciliation

  • Record catering income accurately on Excel.
  • Assist with financial reconciliations and the identification of discrepancies.
  • Ensure financial information is recorded and maintained accurately.
  • Provide support to the Finance Team with routine financial reporting and administrative tasks where required.

General

  • Work collaboratively with colleagues across the Theatre and develop a good understanding of the Belgrade Theatre and its operations.
  • Maintain confidentiality when dealing with financial and employee information.
  • Work at all times within the Theatre’s policies, including Equality, Diversity and Inclusion, Dignity at Work, Environmental, Health and Safety and Code of Conduct policies.
  • Work in line with the Belgrade’s core values of inclusion, collaboration, evolution and authenticity.
  • Undertake any other duties that are consistent with the function and seniority of the role.

WHAT WE ARE LOOKING FOR

EXPERIENCE – Essential

  • Experience working in a finance, accounts or administrative environment.
  • Experience of processing invoices or working within an Accounts Payable function.
  • Good attention to detail and a methodical approach to work.
  • Experience using Microsoft Excel.
  • Ability to maintain accurate records and meet deadlines.
  • Ability to identify discrepancies and resolve issues appropriately.
  • Good organisational skills, with the ability to manage competing priorities.
  • Ability to work independently while also contributing positively to a small team.
  • Good communication skills and the ability to work collaboratively with colleagues across the organisation.
  • A high level of integrity and confidentiality when handling financial information.

DESIRABLE

  • Experience using Lightyear AP software.
  • Experience using Access or similar accounting/finance systems.
  • Previous experience working within a theatre, charity, cultural or not-for-profit organisation.
  • Experience of processing credit card statements and reconciling supplier accounts.
  • Experience recording income or working with EPOS/catering income.
  • A relevant finance or accounting qualification or training.

OTHER INFORMATION

The Belgrade operates a House Agreement based on the UK Theatre (formerly TMA)/BECTU (Broadcasting, Entertainment, Cinematograph and Theatre Union) Agreement and its Staff Handbook outlines the terms on sick pay, maternity leave and pay, paternity leave and pay, grievance and discipline and other relevant staff matters.

Hours: 16 hours per week. We are seeking someone who can ideally work 4 hours per day, 4 days per week. There is flexibility around the days worked; however, Monday and Tuesday are essential working days to support invoice processing.
