Role Specification 

The Communities, Practice & Participation Coordinator supports the administration, delivery, and evaluation of Modern Art Oxford’s community-facing participation and exhibition programme, involving a wide range of groups. 

Working as part of the Communities, Practice & Participation team at the gallery, you will be a key support in the coordination of our participatory programme and live events, the installation of displays in Modern Art Oxford’s Ground Floor gallery and Studio, and assisting the delivery of workshops, as required. The Coordinator is also responsible for the administration and archiving of Modern Art Oxford’s community-facing participation programme. 

This position requires a proactive, detail-oriented approach, to ensure appropriate and ongoing communication across departments to realise projects successfully, within budget, and to the highest standard. You will be trusted to use your initiative in problem-solving and encouraged to contribute ideas. This job is an integral role in the team, aimed at an early-career arts professional. 

Key days for this role are Wednesdays and Thursdays, plus flexible working hours available.

About your team

The Coordinator, Communities, Practice & Participation is line-managed by the Curator, Communities, Practice & Participation and supports the Head of Communities, Practice & Participation and other CPP colleagues. 

Primary Objectives 

● To support the Curator of Communities, Practice & Participation in the planning and delivery of temporary exhibitions sharing our participatory projects across our Ground Floor, including our Ground Floor Gallery and Studio. 

● To support the CPP team in collating, administrating and disseminating all information required for the timely and accurate delivery of all aspects of the CPP programme with early years, young people, and adult communities. 

● To assist in the delivery and administration of the workshop programme as requested by the Curator of Communities, Practice & Participation.

Key Accountabilities 

Ground Floor Gallery 

To support the planning and delivery of the Communities, Practice, and Participation exhibitions Programme, including: 

● Support the Curator, Communities, Practice, and Participation with timely and accurate issuing, completion and return of loan forms, condition reports and insurance documents. 

● Support the Curator with the administration of registrar duties relating to the shipping of artworks for Ground Floor Gallery exhibitions. 
● Undertake condition checking of artworks on arrival and departure, with support provided by the Curator. 
● Assist with producing display labels and signage, liaising with suppliers and internal teams. 
● Arrange the documentation and photography of Ground Floor Gallery exhibitions, workshops, and events as needed. 

The Studio and Participatory Programme 

To support with the administration and coordination of the Studio and related participatory programme, including: 

● Support the Curator with the overall coordination and administration of the Studio programme, including ordering project materials and installation. 
● Assist with the production of engagement resources in collaboration with suppliers and internal teams. 
● To support the CPP team with overall workshop assistance and administration, including submission packs, updating shared calendars, ordering project materials, and arranging hospitality, refreshments, and room setup as required. 

● Coordinate events data throughout the year and provide accurate updates for annual reports. 
● Support the team to archive current projects quarterly for Modern Art Oxford’s ongoing records. 
● Draft artist and event contracts in consultation with the Head of and Curator, and coordinate travel and accommodation bookings for the team. 
● Manage the Creative Learning email account and respond to unsolicited proposals, queries, and requests relating to our programme and the archive. 
● Support university placements and internships throughout the year.

Finance 

To support the CPP team with accurate and up-to-date financial administration, including: 
● Work closely with the Curator and team to ensure that budgets are accurate and updated. 
● Process invoices to ensure timely payment, clearly communicating with external stakeholders on details required by finance colleagues. 
● Carefully reconcile CPP budgets with the finance accounting system, working closely with the Finance Manager and Curator. 
● Process and reconcile expenses on departmental credit cards. 

Organisational 

● To ensure that Modern Art Oxford complies with all aspects of the General Data Protection Regulation (GDPR) in relation to marketing and communication activities with audiences, stakeholders and any other third parties. 
● To carry out all duties in accordance with all Modern Art Oxford’s policies including Equal Opportunities, Access, Employment, Health and Safety, Child 
● Safeguarding, Data Protection and Equality, Diversity and Inclusion Policies and the Creative Case for Diversity. 
● To undertake any duties reasonably required by the Curator of Communities, Practice & Participation. 

Person Specification 

The successful candidate will be able to demonstrate an enthusiasm for contemporary art and a willingness to gain a broad range of curatorial skills and experiences. They will have strong administration skills, with demonstrable experience, a proactive mindset and the ability to be flexible. They will have a keen attention to detail and an ability to prioritise and deliver multiple strands of work to deadlines. Good planning and communication skills are essential in this busy, demanding and exciting environment. They will be comfortable working as part of a team, and sharing responsibilities and tasks where necessary.

Essential 
● A keen interest in contemporary art and participatory practice. 
● Excellent administrative and organisational skills, with rigorous attention to detail. 
● Strong written and verbal communication skills.
● A solutions-focused, proactive and flexible attitude. 
● Good time and workload management skills. 
● Self-motivated and collaborative, with the ability to work both independently and as part of a team. 
● Proficient IT skills, particularly with Google Workspace and Microsoft Excel. ● Ability to work evenings and weekends. 

Desirable 
● Previous experience of working or volunteering within an arts organisation.
 ● Experience in professional organisations assisting on community projects.
 ● An understanding of care and responsibilities when working with children, young people and vulnerable adults. 
● A qualification at FE or HE level or equivalent work experience. 
● Knowledge of the Adobe suite including inDesign and Photoshop.

26 days annual leave per annum, plus public bank holidays (calculated pro rata from the full-time allowance of 25 days).
