About the Role

Community360 is seeking an experienced and proactive Operations Manager to oversee the day-to-day running of the Transport Office. This role is central to ensuring the smooth, safe, and compliant delivery of Community360’s transport services, including community transport, hospital discharge, and group hire operations.
The postholder will lead and coordinate scheduling, call handling, data quality, compliance, and fleet readiness, ensuring that services are delivered efficiently, safely, and in line with funder, regulatory, and organisational requirements.
 
Key Responsibilities
 
Operations & Service Delivery
  • Oversee the daily operation of the Transport Office, ensuring that bookings, scheduling, and dispatch are delivered efficiently and accurately.
  • Ensure sufficient driver and vehicle coverage to meet demand across Colchester, Chelmsford, Maldon, and surrounding areas.
  • Monitor service performance, reliability, and utilisation, taking corrective action where required.
Scheduling, Call Handling & Data Quality
  • Oversee call taking, bookings, and scheduling processes, ensuring that all journeys are correctly recorded in DAVE and other systems.
  • Ensure accurate data entry for mileage, fares, fuel, cancellations, and exceptions.
  • Support the implementation and maintenance of standard operating procedures across all office functions.
Fleet & Compliance Oversight
  • Ensure vehicles are compliant, available, and correctly managed, including MOTs, PMI, insurance, permits, and safety checks.
  • Oversee defect reporting, maintenance scheduling, and vehicle unavailability management.
  • Work closely with leasing companies, garages, and internal teams to maintain fleet readiness.
Driver & Volunteer Coordination
  • Support the management of driver availability, training, and compliance, including MIDAS, licence checks, and induction.
  • Ensure accurate records are maintained in DAVE and BreatheHR.
Systems & Process Improvement
  • Act as a key owner of DAVE, SharePoint, and BreatheHR within the Transport Office.
  • Drive continuous improvement in data quality, reporting, and operational efficiency.
  • Support audits, and funder reporting.
Team Leadership & Collaboration
  • Provide day-to-day leadership and support to schedulers, call handlers, and office staff.
  • Work closely with the Head of Transport and wider Community360 teams to align operations with organisational priorities.
  • Support training, coaching, and the embedding of consistent working practices.

Skills & Experience
Essential
  • Experience in operations management, scheduling, transport, logistics, or a similar environment.
  • Strong organisational and problem-solving skills.
  • Experience working with data systems, bookings platforms, or CRM-style software.
  • Excellent communication and stakeholder management skills.
  • Ability to manage competing priorities in a fast-paced environment.
Desirable
  • Experience in community transport, healthcare transport, or the voluntary sector.
  • Knowledge of transport compliance frameworks such as Section 19/22 permits, PMI, or similar.
