About the position:
The Operations Assistant position is a full-time, permanent post and will be based at the location stated above. The post holder will work with the Operations Director to ensure that we continue to be recognised as an exceptional partnership in the East Midlands region delivering on the three areas of work below.

The role is an exciting, variable role which would suit someone with a passion for making things happen.

Purpose of position:
The purpose of the position is to coordinate, implement, and deliver the administration of a large range of activities, providing support to the leadership team.

Main Responsibilities:
Core Administration
  • Oversee key administrative functions across the partnership, ensuring smooth coordination and delivery of services.
  • Manage general administration including budget and resource tracking, purchasing, secretarial duties, document preparation, and senior leadership support.
  • Maintain organisational records and ensure accurate filing systems for compliance and accessibility.
 
Meetings, Events and Programme Coordination
  • Prepare agendas and supporting documentation for meetings and events. 
  • Organise and coordinate programmes, conferences, and events, ensuring all logistical details are managed effectively. 
  • Take ownership of the calendar, ensuring timely scheduling and smooth execution of events. 
  • Maintain communication strategies for programmes, events, and conferences to ensure stakeholder engagement.
 
Customer Service
  • Act as the first point of contact for all trainee and MAT-related enquiries, providing timely and professional responses.
  • Develop and support internal and external communications, including promotional materials and stakeholder updates.
  • Liaise with students, teachers, senior leaders, and external stakeholders to maintain strong relationships and effective communication channels.
 
Data and Information Management
  • Maintain data management systems, ensuring accuracy and compliance with regulatory requirements.
  • Produce reports and provide data for partners and leadership teams as needed.
  • Ensure policies and documentation are regularly reviewed and updated to reflect current standards.
 
Financial Support
  • Manage financial processes, including raising Purchase Orders (POs), tracking income and expenditure, and maintaining accurate records. 
  • Ensure all financial approvals are obtained and liaise with the Finance Department for efficient service delivery. 
  • Prepare and coordinate information for grant audits and financial reporting and respond to initial finance queries.
 
Other Duties
  • Demonstrate a strong commitment to safeguarding and ensuring the welfare of children and young people at all times.
  • Be invested in building relationships with our partners and stakeholders.
