The Role
The Finance Assistant Apprentice will support the finance team in maintaining accurate financial records and ensuring the smooth operation of day-to-day accounting processes. The role involves assisting with invoice processing, purchase order management, and payment runs, as well as maintaining organised financial documentation and communication with suppliers. Working closely with the finance team, the apprentice will gain hands-on experience in bookkeeping, use of accounting software (Xero), and general office administration, contributing to the efficient and professional running of the finance function.
Duties
- Enter supplier invoices and credit notes accurately into the accounting system (Xero)
- Raise purchase orders in line with company procedures.
- Assist with the preparation and processing of supplier payment runs.
- Reconcile supplier statements and follow up on any discrepancies.
- Maintain an organised and up-to-date accounts inbox, ensuring queries are dealt with promptly.
- Respond to supplier queries in a professional and timely manner, escalating issues where necessary.
- Answer incoming telephone calls and direct them appropriately within the finance team.
- Support month-end and year-end financial processes as required.
- Ensure financial records are filed and maintained in accordance with company policies.
- Contribute to the continuous improvement of finance processes and systems.
- Demonstrate a proactive and detail-oriented approach to all tasks, with a focus on accuracy and efficiency.
Other responsibilities
- Work flexibly as and when required to meet the needs of the club
- Be aware of the PUFC policies, procedures & best practise so that concerns of non-compliance can be raised
- Work within the company policies and processes. Seek advice & guidance if required ensuring employees and processes work seamlessly together
- Attend meetings, training and professional updating as and when required
- To adhere to existing working practices, methods, procedures, undertake relevant training and development activities and to respond positively to new and alternative systems.
- To maintain confidentiality and observe data protection and associated guidelines where appropriate.
- Adhere to and support the club’s Equality and Diversity, Health and Safety and Safeguarding policies.
About You
Experience and Qualification
- Fully IT literate in Microsoft Office – specifically excel, online portals and outlook.
- GCSE’s to include a minimum of Maths and English GCSE C/4
