Role Overview – What you will be doing here
This is an exciting opportunity to join a growing technology company with a part-time role that can be structured to fit around other commitments. The Personal Assistant (PA) and Administrative Assistant will play a pivotal role in supporting senior management and ensuring the smooth operation of daily business activities. This dual-role position combines high-level executive support with general administrative responsibilities, requiring exceptional organizational skills, discretion, and the ability to multitask in a fast-paced environment.
In addition to co-ordinating executive level meetings, travel and other activities you will collaborate closely with the operations team to support admin activities as required across Delivery, HR, infrastructure and facilities.
Oxford Dynamics is a small team who rely on a collaborative and positive approach and so the right attitude for this role is equally as important as experience.
Key Responsibilities
To include, but not limited to:
Executive Support
- Manage calendars, schedule meetings, and coordinate appointments.
- Handle confidential information with discretion and professionalism.
- Arrange travel, accommodation, and itineraries.
- Point of contact for greeting and co-ordinating external visitors.
Administrative Duties
- Maintain and organise office systems, including some data management.
- Handle incoming calls, emails, and other communications.
- Order office supplies and support asset management.
- Support the coordination of internal and external events or meetings including external facility bookings, catering etc as required.
- Collaborating with teams to ensure facilities are suitably presentable and maintained for external visitors.
- Support conference and corporate event attendance.
- Arrange company social events.
- Co-ordinate with operations, marketing and the leadership team to draft and distribute internal communications and meeting minutes.
- Day to day facilities planning and support including Health and Safety assessments.
- Provide administrative support to the operations and HR teams.
What you can bring to Oxford Dynamics
A collaborative and supportive attitude to work is essential for this role. You will be expected to operate at multiple levels within the company, with a strong focus on delivery and attention to detail.
Qualifications
Minimum Requirement:
- Good level 2 academic qualifications (GCSE equivalent).
Preferred additional qualifications:
- Level 3+ administrative or professional qualification
Please note that appropriate sufficient experience is acceptable in lieu of formal qualifications.
Experience and skills
Minimum requirements:
- Proven experience in a PA or administrative role
- Excellent written and verbal communication skills
- Strong organizational and time-management abilities
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Ability to work independently and handle multiple priorities
- High level of discretion and professionalism
Preferred additional experience:
- Experience of supporting quality audits, health and safety risk assessments and/or supplier management preferable
