The Role

Reporting to the Director of Operations, this role is central to the success of our programme and operations team. You will be a key part of our collaborative administrative hub, providing high-quality support across programmes, projects, events and internal systems.
 
 You will support colleagues in programme delivery, coordinate operational processes, maintain our CRM and data records, and assist in event logistics. You will also provide support to the marketing team, helping ensure communications and campaigns are efficiently delivered.

Main Duties and Responsibilities
·        Running, improving and developing administrative systems and procedures in support of SDN-Mesma’s business objectives.
·        Providing administration support to programme teams, including scheduling, document management, and progress tracking.
·        Assisting in the delivery of government-funded and sector programmes, supporting programme managers with data, reports and records.
·        Liaising with staff, partners and associates to coordinate meetings and events, using Teams, Zoom, Eventbrite and other platforms.
·        Supporting event administration (both virtual and physical), including delegate management, technical support, and venue searching and production of delegate packs.
·        Keeping CRM records up-to-date (HubSpot or equivalent) and assisting with data collection and reporting.
·        Supporting internal systems such as HR and finance administration where required.
·        Assisting the marketing team with administrative tasks.
·        Formatting slides, resources and communications to a high standard.
·        Support with customer service – as part of the operations team, dealing with customer enquiries via email and live chat.

Person Specification - Attributes

Experience
·        Administrative service delivery across a range of functions and business areas (Essential)
·        At least 3 years administrative experience (Essential)
·        Working with CRM systems (HubSpot or equivalent) (Essential)
·        Information and communication technologies, in particular Microsoft Office 365, SharePoint, Teams, Zoom (Essential)
·        Experience of event administration (virtual and/or physical) (Essential)
·        Supporting marketing/communications activities (Desirable)
·        Working in distributed or remote team environments (Desirable)

Skills
·        Excellent customer service across all communication channels (Essential)
·        Ability to manage workload with conflicting priorities and multi-task across various projects (Essential)
·        Crisp and clear written communication with excellent spelling and grammar (Essential)
·        Knowledge, Knowledge of online event co-ordination and systems (Essential)
·        Understanding of the learning and skills sector in England (apprenticeships and technical education) (Desirable)
