Operational Tasks

  • To assist the Venues Management in the opening and closing of venues as required, including cashing up duties.
  • To serve customers efficiently and effectively in accordance with the standards of the Union’s Customer Service Policies.
·  To support the venues management in creating and sustaining a culture of excellence in customer service, ensuring that customers’ needs and expectations are effectively identified, measured and met, by supervising venue staff and serve as an example

· Check and sign off all orders and deliveries whilst on shift
· To ensure that no activity takes place on the premises that may result in the suspension or loss of the venue’s licenses, or negatively impact on the unions reputation with the public and local authorities.
· To ensure the safety of stock, cash and assets whilst on shift,
· To ensure that the Venue are kept fully stocked at all times and ensure that stock levels are reported daily to venue management, whilst completing stock takes and rotating stock to limit wastage
· To place basic daily and weekly orders.
· To update basic functions on the Epos system, and run reports as needed. 
· To code invoices to their correct code.
· To be the link between the student staff and management for our satellite sites of Cavendish 
· To ensure compliance and WBA’s are updated daily across the venues and any issues reported to Management
· To ensure that venues are kept clean and tidy, to strive to achieve an environmental health 5-star award 

Key Tasks 

  • To serve high quality food and drink in a timely manner and deliver high standards of customer service and care in accordance with the Students’ Union Customer Service Policies.
  • To be polite to customers and always present a positive image of the Union. 
  • To ensure that the staff dress code is adhered to.
  • To clean the venues to high standard and complete relevant paperwork.
  • Ensuring that the Venue operate correctly by adhering to applicable laws, and working at all times within relevant legislation as well as policies and procedures.
  • To ensure all hours worked are recorded accurately on the correct timesheet, and check daily those of student staff.
  • To work in a team being adaptable and flexible, working with colleagues to produce the standards required and to cover other team members as necessary.
  • To work co-operatively with other Union staff and officers, as well as relevant external organisations. 
  • To adhere to the highest standards, especially of customer service and safety.
  • To seek to continually develop and improve Union facilities and services. 
  • To perform any other additional reasonable duties as deemed appropriate. 
  • Attend team meetings. 
  • To work and assist in the preparation for any key events and private bookings at the Venues.
  • To work at key events each year, such as Open Days, Freshers’, Clearing and Varsity, of which some are on weekends.
  • To attend and complete all annual Venue training such as the Health & Safety and Food Hygiene course which allow you to carry out your role. 
 
Staffing 

  • To oversee and motivate the student staff whist on shift.
  • To ensure that Student staff’s timesheets/breaks are completed daily, along with updating Payroll.
  • To report any staffing issues back to Management.
  • To ensure that all staff on shift are following correct procedures and customer service expectations, along with reshowing them the “basics” when re-training is needed.
 
General Notes

  • The principle roles and responsibilities will change from time to time and the post holder is required to undertake any additional duties as deemed appropriate.
  • Staff are required to have a Personal Development plan and to participate in training, meetings or conference considered relevant to their job. Staff must carry out their duties with full regard to the rules policies and procedures and conditions of service contained in the staff information guide.
  • A condition of the employment is that all staff are expected to assist in key events throughout the year e.g. Freshers Fair, Varsity and any other key events, including elections if necessary. Staff are expected to portray a positive image both internally and externally of the Students’ Union by displaying standards of service integrity, punctuality, politeness and professionalism.
  • The Union envisages that this post will develop through time and that the post-holder is expected to be proactive in pursuing these changes.
