We are seeking a dynamic and personable Hospitality and Event Administrator who can inspire confidence, ambition, and purpose. In this role, you will support the delivery of first-class corporate hospitality and events at RIAT, working closely with clients, contractors, volunteers, and internal teams. You will play a vital part in ensuring the smooth running of hospitality operations, with a proactive and organised approach, strong stakeholder engagement, and a commitment to operational excellence.
The main duties of the role would be:
- Support the Hospitality Chalet Executive in the planning, organisation and delivery of the corporate hospitality chalets at RIAT, liaising directly with clients on their individual requirements, providing an account management role to them as required.
- Provide administrative support to the Corporate Events Manager on specific tasks related to the planning, organisation and delivery of corporate events at RIAT.
- Liaising with the Ground Operations team to support the chalet structure build.
- Liaising with the IT dept to help deliver the chalet IT infrastructure laydown plan.
- Liaising with contractors involved in the delivery of the operation to include caterers, furniture suppliers, tentage providers, and infrastructure requirements.
- Liaising with and support all sub-contractors of the clients.
- Co-ordinating the logging, security and storage of all chalet and event equipment in stores inc signs.
- The capture, co-ordination, delivery and log of extra client requirements, as requested, and tracking spend accordingly. Support the administration of all post show invoicing.
- Raise purchase orders and code appropriately.
- Support the People & Sustainability department in the recruitment process for volunteers. Responsible for interviewing team members required to meet the business needs for the delivery of the chalets.
- Co-ordinate the administration, process, and distribution of all relevant stakeholder passes for hospitality clients, contractors and their chalet guests, and provide checks and assurance on all accreditation material.
- Support the production of Health and Safety Risk Assessments as required and associated briefing documentation.
- Support new processes and opportunities to continually improve the chalet operation including undertaking benchmarking exercises to deliver best practice and a top quality offer.
Education :
- ‘A’ Level standard of education
