Role purpose
We are looking for a professional and friendly Receptionist / Office Administrator to be the first point of contact for visitors and staff at our South Crofty site. This is a varied hands-on position combing front of house duties with general office administration, with occasional executive support to the senior management team.
You will be central to the smooth running of our office, greeting visitors, managing enquires, coordinating diaries, supporting meetings, maintaining records and assisting with travel logistics.

Principle responsibilities/role tasks
Specific duties as part of the role include, but are not limited to, the following:
Front of House duties
- Welcome visitors, staff and contractors ensuring site inductions have been completed.
- Answer and direct incoming calls, emails and correspondence.
- Maintain a tidy and professional reception and meeting room area.
- Manage visitor logs and security sign-in processes.
- Directing deliveries and arranging post/couriers.
Office Administration
- Maintain organised electronic and paper filing systems, including confidential records.
- Handle incoming and outgoing post, deliveries and shipments.
- Order and manage office supplies and refreshments.
- General administrative support as required.
- Act as Fire Warden for the office.
Meeting and Event Support
- Prepare agendas, take minutes and follow up on action points.
- Organise refreshments and ensure meeting rooms are set up.
- Assist with internal and external event arrangements.
Executive and Team Support
- Provide diary management for the General Manager and senior team as required.
- Arrange travel and accommodation for staff, visitors and senior management.
- Support with special projects, research and administrative.
Compliance and Coordination
- Handle sensitive and confidential information with discretion
- Liaise with suppliers, contractors and local community representatives.
- Proactively identify and resolve administrative issues.
Working environment
This is an on-site role based at South Crofty Mine. While mainly desk based, it will involve some movement around the site for meetings, training and events and occasional travel to other UK locations.
Key relationships
The role will report to the Facilities Manager, but there will be frequent interaction with the General Manager and the senior team.
External relationships will include suppliers, local communities, and external contractors.

Essential
- Excellent organisational skills with high attention to detail.
- Strong communication and interpersonal skills.
- Ability to manage multiple tasks and priorities.
- Proficient in Microsoft office (Word, Excel, Outlook, PowerPoint)
- Positive, proactive attitude with the ability to work independently and as part of a team.
- Current driving licence, or alternative ability to efficiently undertake the duties of the role and reliably travel to site.
- Have the legal right to work in the UK at the time of application and for the duration of employment.
Desirable
- Experience in reception, office administration or executive support.
- Previous experience of working in a company in the extractive, construction or industrial sectors

Hours of work and work location
Full Time 37.5 hours a week, Monday to Friday between 8:00am and 4:00pm, based at the South Crofty Mine site. The role may occasionally require availability outside of standard working hours to support events.
