We are seeking an experienced Event Manager to oversee and organise the One Young World Summit. The ideal candidate will ensure the Summit is successful and cost-effective, paying attention to budget and time constraints. This person will have a keen eye for cost control and supplier management, without compromising on quality.

What will you be doing?

Planning and Procurement
  • Under the direction of the MD and Summit Director, finalise the plans for One Young World Summit Munich, 2025 and both plan and deliver the One Young World Summit Cape Town, 2026, and the One Young World Summit, Tokyo, 2027 from start to finish according to requirements, target audience, and objectives. Key objectives include budget, sustainability, accessibility, and inclusivity
  • Manage procurement by researching, sourcing, and negotiating with vendors and suppliers for key areas such as F&B, transport, AV, and venues (including the exhibition).
  • Assist with hiring, briefing, and supervising freelancers and the local event team
  • Assist the Housing Manager with hotel contracts and budgeting
  • Liaise with the partnerships team to assist with corporate client requests including venue finding
  • Assist the MD and host city lead with future Host City bids and/or logistical organisation, which may involve overseas site inspections

Execution
  • Support on the onsite event logistics of the One Young World Summit Munich 2025 and lead the on-site logistics for Cape Town, 2026 and Tokyo, 2027
  • Travel to onsite inspections, project manage events, and attend the actual Summit
  • Manage the venue room allocations, and room requirements working with internal teams and external vendors 
  • Coordinate F&B requirements for the entire Summit including venue catering, delegate dinners and Ceremony receptions as well as Partner and VIP dinners
  • Assist the Content Director and Producer onsite to ensure the smooth delivery of the running order including on-site time management. Must be able to step up to resolve any problems that might occur
  • Oversee development and implementation of the event app including on-site push notifications 
  • Maintain timelines and priorities, and communicate regularly with the team
  • Follow up with suppliers to confirm or change orders.
  • Support the VIP management team in ensuring smooth logistics, e.g., transport and accommodation
  • Liaise with the programmes / delegate services team to assist with accessibility and provide information for delegate queries
  • Ensure internal and external crews are fully briefed and adhering to the code of conduct and service agreements.
  • Work closely with the health & safety officer, safeguarding officer(s), and security teams on the Event Safety plan and implementing One Young World policies
  • Lead the Sustainability Committee in submitting reports and/or onsite sustainability audits for the ISO20121 Event Sustainability Certification

Operations and Finances
  • Support the Summit Director on the Summit budget, ensuring targets are achieved
  • Assist with the production of Summit-related material, such as the Summit Report, Partnership brochures, website copy, agenda documents, session descriptions, and proposals 
  • Assist with refining in-house processes eg registration, and delegate queries
  • Liaise between suppliers and the finance team to ensure payments are scheduled 
  • Support on reconciliation of all event costs 
  • Analyse the event’s success and prepare reports 


What you will bring professionally 
  • Proven experience as an Event/ Project Manager who has taken a leadership role on large, complex international conferences with multiple days / event elements 
  • Strong skills in project and supplier management 
  • Experience with data and registration management 
  • Experience of managing junior team members and working directly with other team leads to co-ordinate event elements 
  • Knowledge of the events industry in the UK and overseas
  • Knowledge of sustainability and accessibility best practices
  • Experience working with a range of corporate clients 
  • Experience working on sponsorship / sales pitch decks 
  • Outstanding communication and negotiation abilities 
  • Excellent organisation skills, highly efficient, and experience of complex admin tasks
  • Confidence in troubleshooting and problem-solving 
  • Analytical and business savvy, and driven by results
  • Fluency in English and additional languages are beneficial
