Job Title: Farm Volunteer Coordinator
Reporting To: Group Volunteer Manager
Salary : £30,000 -£33,000
Contract Type: Full – time, 9 Months Fixed Term
Location: Hybrid- based at farms with occasional home working. Mix of London depots and home working after gleaning season
Hours/Days per week: 37.5 hours per week, Monday – Friday
Requirements: The Felix Project can only employ applicants who currently have the right to work in the UK. Applicants will need a driving license and car to travel between the farms.
About The Felix Project
The Felix Project is London’s largest food redistribution charity. Our vision is a London where good food is never wasted, and no one goes hungry. We aim to reduce the negative impact food waste has on the environment by working with the food industry to rescue high quality surplus produce, that would otherwise have gone to waste. This food is sorted at one of our four depots or turned into meals in Felix’s Kitchen. It is then distributed to over 1,200 community organisations, such as food banks, homeless shelters and primary schools, all of whom are working within communities across London to feed people experiencing hunger.

The Farm Volunteer Coordinator position facilitates group volunteering, be that from one of Felix’s corporate partners or another organisation seeking a great team experience. This role is focused primarily on the farms in Kent and Sussex that we rescue food from in the run up to and during harvest season.
Out of farming season, you will mainly be working from home. This will mainly involve project work and assisting in the day to day running and improvement of the group volunteering process at Felix. You will also be needed in the London depots/events around once a week to support staff and volunteers there.
You will be accountable for the management of the group volunteer bookings and briefings at the farm and other environments, cultivating strategic volunteer relationships and exploring new opportunities for partners to support Felix through volunteering.

Duties and Accountabilities
- Managing the booking system via Microsoft Dynamics
- Conducting inductions for groups at our farm sites
- Working across teams to minimise the likelihood of “no-shows” (groups or individuals that do not fulfil their booking)
- Encouraging volunteers to sign up as individuals
- Ensuring the group volunteer experience is impactful and enjoyable, utilising group feedback proactively to make improvements
- Working with the Supply Team, Corporate Partnerships Team, and wider Income Generation Team to support the development of key partnerships
- Leading on the implementation of Felix’s group volunteer charging model and cancellation policy for farms.
- Reporting on group volunteering to monitor, evaluate and learn from activities, aiming to improve the programme and offering to groups for farms
- Handling group volunteer queries and issues for Farms
- Managing the end-to-end volunteer experience at the Farm sites. This includes troubleshooting, health and safety, volunteer welfare and communications
- Managing individual volunteers alongside group volunteers when required
- Acting as a local ambassador for The Felix Project
Person Specification
Essential skills, knowledge, and experience relevant to this role
- Experience of working with volunteers and/or volunteering
- Experience of recording data, and maintaining databases
- Evidence of providing appropriate support and supervision to volunteers
- Strong interpersonal, networking and facilitation skills
- Experience of building and maintaining professional relationships.
- Proven track record of following and improving processes and procedures
- Ability to work with a diverse range of people
- Digital savvy, with a track record of learning new systems quickly
- Problem solving skills
Desirable skills, knowledge, and experience relevant to this role
- Experience of working with food rescue, logistics or farms/gleaning processes
- Experience volunteering with The Felix Project
- Experience using volunteer management software
- Experience of working in a Fundraising Team
