The Reformer Studio is the Midlands’ largest Reformer Pilates brand, known for delivering exceptional client experiences across our growing network of studios. We are passionate about wellness, movement, and outstanding customer service, and we’re looking for a Customer Service Representative to join our dynamic head office team in West Bridgford.
About the Role
As our Customer Service Executive, you will be the first point of contact for our clients, handling enquiries, support requests, and general studio assistance while ensuring an exceptional experience for every customer. You will play a key role in supporting studio operations, membership management, and ensuring seamless communication between clients and our team.
This role will also include assisting the Brand & Marketing Manager with marketing-related tasks, supporting The School of Reform with student enrolment and administration, and providing general administrative support to the Directors and Senior Management Team as required.
Key Responsibilities
- Provide friendly, professional, and timely responses to customer enquiries, including client feedback, complaints, and concerns, via phone and email.
- Support our scheduling team as required, ensuring a smooth experience for clients.
- Assist with membership sign-ups, renewals, and payment queries.
- Ensure customer records are accurate and up to date within our CRM system.
- Represent The Reformer Studio’s brand values by delivering an exceptional customer experience.
- Assist in managing and responding to Google Reviews, maintaining our strong brand reputation.
- Support marketing initiatives by assisting the Brand & Marketing Manager with promotions, referral schemes, and studio updates.
- Assist with student enrolment, ensuring all necessary documentation and payments are processed.
- Maintain accurate student records and assist with any administrative tasks related to course bookings and training schedules.
- Assist Directors and Senior Management with general office-based administrative tasks as required.
- Support internal projects, scheduling, and documentation where needed.
- Assist with resolving technical issues related to bookings, payments, or studio systems.
- Work collaboratively with the wider operations and marketing team to streamline customer interactions.
What We’re Looking For
- Excellent communication skills – a warm, engaging approach with a strong ability to handle customer inquiries professionally.
- Organised and detail-oriented – able to manage multiple tasks efficiently.
- Experience in customer service – ideally in a fitness, wellness, or hospitality environment.
- Tech-savvy – comfortable using CRM systems (experience with MindBody or similar booking software is a plus!).
- Problem solver with a proactive attitude – able to handle challenges calmly and effectively.
- Passionate about wellness and fitness – a strong alignment with The Reformer Studio’s brand and values.
- A self-starter – someone who is confident taking initiative and supporting the Brand & Marketing Manager, The School of Reform, and Senior Management when required.

This role will be predominantly office based, working from our West Bridgford Head Office Monday to Friday, 9am – 5pm.
