Job purpose & Role Overview


As the Equipment and Logistics Coordinator, you will take a hands-on approach to coordinating and maintaining our outdoor equipment and logistics. This role is integral to ensuring our trips are well-prepared and equipped, delivering a 5-star experience to our guides and clients. You will oversee digital inventory, track maintenance, and optimise processes for seamless trip delivery, working closely with the sales, operations, and guiding teams to support Wilderness England’s seasonal needs.

Seasonality

April to October is 'summer season' which involves strict deadlines as the majority of trips depart, along with reacting to any unforeseen issues that may arise. Annual leave is more restricted during this period.

November - Feb is ‘winter season’ which involves preparation and planning for the following year, kit repairs, maintenance, review of processes and budgeting, as well as providing support to the wider office team.

Hours of Work

Hours for this role are 35hrs per week although there is an opportunity to increase hours in the summer and reduce them in the winter.  Weekend work is required.

This role requires scheduled weekend work during the summer season as trips are confirmed to run, weekend work will be agreed well in advance according to our trip schedule. This will be to cover key trips that are ‘stores heavy’ and where guides require assistance with prep, packing and return.
Indicative working hours would be as follows:

April to October

  • Sun:    Off

The scheduled hours may vary a little each week pending which trips are operating and can be managed between your line manager and wider operations team.

During the winter-season this would typically be a Mon-Friday, 9-5 role. 

Key Accountabilities


Supplier Relationship Coordination 
  • Build and maintain strong relationships with key suppliers, including food, equipment, and maintenance service providers (e.g. Lyon, Trek Bikes, Haglofs, Ford, Mercedes, Enterprise).
  • Coordinate procurement and purchasing, ensuring efficient, high-quality sourcing aligned with seasonal requirements and budgets.

Process & Efficiency Optimization
  • Identify and implement practical efficiencies across equipment coordination , maintenance, and stock levels.
  • Streamline preparation and packing processes for all trips, particularly for gear-heavy departures, with a focus on time management and resource planning.

Feedback-Driven Improvements
  • Act on feedback related to equipment, kit, and logistics processes, making practical adjustments to enhance service quality.
  • Collaborate with the operations team to develop and implement new procedures as required for ongoing improvement.

Collaboration with Operations & Guiding Teams
  • Coordinate with the wider operations team to support trip logistics, assist with client and vehicle transfers where required, respond to emergencies, and ensure a seamless experience for clients and guides.

Key Responsibilities


Equipment & Logistics Coordination 
  • Conduct maintenance of all outdoor equipment, our fleet of road, gravel and electric bikes, ensuring they are trip-ready throughout the season.
  • Oversee logistical setup and handover of equipment and resources, directly supporting guides and the operations team.

Inventory & Store Organization
  • Maintain a well-organised store with a clear labelling structure and accessible inventory, updating processes ahead of each season.
  • Track digital inventory records, ensuring accurate allocation of bikes and equipment for trip planning.

Guide Support & Training
  • Deliver training on stores operations and equipment use, both in-person and through online content, keeping guides informed and prepared.
  • Facilitate end-of-trip equipment returns, coordinating waste and recycling according to environmental standards.

Preferred role-specific Skills, Knowledge & Experience


  • Practical experience and interest of all or most of the activities offered by Wilderness England would be an advantage.
  • Strong communication and teamwork skills, along with a willingness to get your hands dirty.
  • NGB Qualifications are desirable.
  • An interest in maintaining modern road/gravel/electric bikes with experience in this area being a strong advantage.
  • Clean Driving Licence and ability to drive a trailer.
