What are we looking for:
We are recruiting for a Ground Operations Project Coordinator to support the delivery of the Royal International Air Tattoo (RIAT) Showground and supporting elements.
Your main responsibilities:
Supporting the Operations Department through the management of RIAT Smartsheets (currently covering 84 Named Projects) and CAD Maps.
Specific responsibility for the:
- Interfaces between the following RIAT Primary Event Smartsheets:
- The Key Events Schedule
- The Health and Safety Executive Health and Safety File (referred to as the RIAT Client Requirement, which details all showground and supporting area project builds)
- The Construction Phase Plan (CPP)
- The Functional Safety Schedule
- Supporting the Head of Ground Operations, Ground Operations Manager and Ground Operations Junior Project Manager with the weekly, through-year coordination of all RIAT projects with the responsible/accountable owners. This covers from initial planning to take-down post-event.
- Maintenance of the interdependencies between the CPP and multiple supplier schedules including:
- Major marquee and tented structures
- Dining facilities
- Event power generation and distribution
- Air conditioning
- Fencing and barrier
- Grandstands and specialist marquees
- Fresh water provision
- Public and accommodation ablutions
- Plumbing and waste
- Trackway
- Cabins
- IT and communications
- Coordinate project information pertaining to the event CAD Maps for:
o Build Phase
o Load-in and departures day
o Load-in and departures day
o Public show days
o Take down
- Coordination of Ground Operations’ elements in support of sustainability policies and data requests
- Administration of all supplier Method Statements and Risk Assessments required as a condition of access to RIAT, as supplier of goods and services to Ground Ops.
- Coordinate the Site Reception facility and Site Induction process using bespoke IT systems
- Assist the Ground Operations Jnr Project Manager with CAD
Business Vision: The integration of multiple Smartsheets across the RIAT Event Plan to increase awareness and the efficiency of event delivery.
Approval Limits: No sales order and/or purchase order approval limits associated with the role.
People Responsibility: Assist with the day-to-day supervision of up to 8 temporary ‘Ranger’ staff members during the Construction and Recovery phases of the Air Tattoo.
RIAT Process:
- Assist in the running of the Site Office during show build and recovery.
- Responsible for the issuing and receipt of equipment to build teams.
- Ordering of Ground Operations show build consumables prior to airfield deployment
Business Tasks:
- Assist the Ground Operations Manager with RAFCTE facilities requirements (maintenance, energy)
- Ground Operations point of contact for the RAFCTE warehouse.
Education and Experience
- 5 GCSEs or national equivalent (essential)
- Full UK Driving Licence (essential)
- Fork-lift truck/plant qualified (desirable)
- RIAT knowledge/experience (desirable)
Knowledge
- IT literate (Microsoft Word, Excel, PowerPoint and Outlook) – (essential)
- CAD mapping or equivalent (desirable)
- Event construction regulations and guidance (desirable)
Skills
- Excellent interpersonal skills (essential)
- Able to work as part of a team (essential)
- Ability to prioritise tasks (essential)
- Ability to public speak to provide a site induction (essential)
- Project coordination experience (essential)
Type of Contract/Working Hours:
Full-time (36.25 hours per week) typically 9am to 5pm Monday to Friday, with flexible working available.
Some weekend working will also be required from time to time to fulfil responsibilities. Applicants must be able to commit to working the weekend of RIAT 19th-21st July 2024
