1. Promoting safeguarding policies and procedures to all visitors on arrival, ensuring safe practice is maintained.
2. To be responsible for the day-to-day efficient running of the reception area at a Children’s Centre, including health & safety of the environment.
3. Responsible for welcoming parents, children, staff and other members of the public.
4. Maintain accurate record systems / booking out systems for room usage within the building.
5. General administrative duties: Operate and use word processing, database and spreadsheet software.
6. Undertake general clerical duties; photocopying, filing, message taking, incoming and outgoing post, maintain diaries.
7. To deal with incoming calls, answer general queries and refer calls to appropriate departments and take messages where necessary.
8. Greet all visitors and inform the relevant employee when their guests have arrived and/or show them to the appropriate meeting room ensuring that they have signed into the building.
9. Ordering office supplies and ad hoc items when necessary and updating and maintaining the Stationery inventory.
10. Preparation and tracking of correspondence and reports and the necessary follow up action.
11. Assisting in maintaining the Children’s Centre staff’s filing systems.
12. Make arrangements for booking of venues, ordering refreshments and equipment for meetings.
13. Receive and respond to telephone enquiries, redirecting as necessary and in a timely manner.
14. Responding to administrative emails/queries and escalating to the appropriate department or line manager when required.
15. Archiving folders and sending to Crown based on set criteria.
16. Provide administrative support to the Children Centre Units and teams.
17. To support Children’s Centre with referrals process on RiO.
18. Distributing Vitamins to service users and recording and ordering as and when required.
19. To support Children’s Centre with booking Interpreters on the Portal.
20. To support the Family Support Team with Allocations and case management processes on RiO and local servers.
21. To support the Data Manager in relation to RiO processes and spreadsheet software, ensuring all data is inputted in a timely manner.
22. Closures – Updating Family Support Worker caseload summary document and discharging cases on RIO and local servers.
23. To be familiar with policies and procedures of the Project and uphold them, especially those relating to Safeguarding and Child Protection, Health and Safety, Data Protection and Equalities.
24. To demonstrate a commitment to Equality, Diversity and Inclusion.
25. To participate in the Projects performance management scheme.
26. To undertake personal professional development and training as appropriate.
27. To assist with organising and running community events as appropriate.
28. To participate in the supervision process including the Probationary Review.
29. To undertake any other duties commensurate with the role and responsibilities of the post as agreed with your Line Manager.
