Bonsucro is looking for a coordinator to support the work of the Chief Executive Officer (CEO) as well as the efficient running of Bonsucro’s Board and committees' meetings and supporting internally with the coordination of global leadership team meetings and communications. This is the perfect role for a self-starter with organisational experience who would like to develop their coordination, people, communication, and research skills, while gaining significant exposure to the operational and strategic aspects of busy, international, small/medium sized, not for profit organisation in the sustainability space.
Working closely with the CEO and Director of Corporate Services team, the Coordinator will provide administrative and organisational support to the CEO and plays a key role in ensuring effective communication and management of processes with external stakeholders and across Bonsucro teams and organisational processes. In this role, the Coordinator will liaise directly with Bonsucro Board, Global Leadership Team, colleagues across the organisation and members.
To be considered for this role, you must be a self-starter who can thrive in a fast-paced, international setting. You should be able to juggle and prioritise a variety of tasks at any time, be pro-active in your approach and confidently interact with both colleagues and a range of external stakeholders. Ideally, you will have some experience in a similar support function in a not-for-profit environment, though excellent candidates without this experience will also be considered. You are excited about the prospect of learning about and supporting the organisation´s governance, strategy implementation, and reporting functions, as well as and interacting with a fun team of experts in the field of market-driven sustainability.
Governance support (40%)
· Coordinate logistical support for meetings of Bonsucro’s Board of Directors and its committees, including scheduling, venues and catering, booking equipment, etc.
· Manage and maintain annual overall calendar of governance meetings and agenda topics.
· Support and coordinate preparation of Board agenda, Board packs and supporting documents with inputs from across the organisation.
· Take notes during Board meetings, produce formal minutes and facilitate tracking and follow-through on agreed action points.
· Develop and maintain understanding of company governance regulations and Bonsucro governance documents. Maintain operational infrastructure of recurring governance requirements including board elections. Support writing and updating of by-laws, terms of reference, etc. and implementation of good governance policies and practices.
Chief Executive Officer support (40%)
· Support the work of the CEO to fully leverage her time and focus and assist with planning and workflow.
· Provide a point of contact for the CEO’s office
· Support, coordinate and facilitate CEO engagement with the Global Leadership Team (functional Directors), Bonsucro members, external stakeholders and internally with staff, including follow-up actions and communication from meetings.
· Perform coordinating, administrative and digital-based tasks such as scheduling CEO travel, appointments and team meetings, data entry and analysis, updating internal systems.
· Conduct research or project-coordination activities, relating to the implementation of CEOs work plan, as delegated from time to time
Team support (20%)
· As part of the Corporate Services team, additional responsibilities as assigned by the Director of Corporate Services based on team’s needs
Qualifications, Experience, Knowledge and Skills
· Solid experience in a similar role, ideally providing high level administrative and/or project support to leadership in a fast-paced organisation.
· Robust and tested organisational skills and the ability to perform and prioritise multiple tasks
· Able to quickly understand what’s required and act with initiative to deliver plans smoothly and to deadlines.
· Confident and assured in communicating and liaising/facilitating with people at different management levels deploying discretion, tact and professionalism.
· High level of accuracy and attention to detail and an understanding of appropriate escalation points.
· Demonstrates a keen mind and a proactive attitude.
· Excellent English writing and communication skills
· Experience using MS Office 360 and its applications, especially PowerPoint, Excel and Teams.
· Interest in learning about and contributing to the effective running of an international not-for-profit organisation
