About The Venue Hire Department
Under the supervision of the Venue Hire Manager, this department is responsible for delivering an annual income budget of £250k and involves supervision of a number of part-time events staff.

Job Description

 

Main duties:

 
Income Generation
·      To maximise income from  venue hire to support the work of the museum
 
Marketing & Sales
·      To energetically market the Museum’s venue hire offer to new client groups, seeking to increase our occupancy year on year
·      To make sales pitches and conduct site visits of the Museum
·      To monitor the effectiveness of promotions and special offers
 
Client Relationships
·      To provide client support and manage supplier liaison
·      To develop new business opportunities and attend any relevant networking and external events e.g. Unique Venues of London, to boost the Museum’s public presence
·      To support members of the Museum’s Development team in their efforts to maximise both corporate and individual support, and to assist in organisation of Foundling Friends, Patrons and Corporate Member events at the Museum
 
Event Management
·      To plan and deliver assigned Foundling Museum events including but not limited to Museum exhibition openings and external hires of the museum
·      To be responsible for the security of the museum and its collections as well as the well-being of all those on site during events
·      To provide on-site management for events whether personally or delegated
·      To act as the main point of contact for event enquiries at the Museum via phone, direct email and the event mailbox
·      To manage the supporting administration, including keeping an up to date enquiry log, arranging contracts, supporting documents, instruction sheets, feedback forms & maintaining overtime spreadsheets
·      To assist in the arrangement of event staff & subcontractors, including cleaning & security
·      To ensure accurate & complete details are received by the Manager of any given event ahead of delivery, including staff lists, guest lists & equipment hire
·      To ensure full health & safety procedures and risk assessments are completed and adhered to during events
 
Other
·      To be flexible in approach and carry out any duties that may fall within the range

Person Specification

 
Essential
·      Experience in sales and in making successful pitches
·      Experience of co-ordinating various events with corporate and individual clients
·      Experience of working to and within restricted budgets 
·      Willingness to work outside regular office hours in order to cover morning, evening and occasional weekend events
·      Excellent organisation skills with meticulous attention to detail
·      Smart appearance and a confident manner
·      Enthusiasm for and enjoyment of meeting and communicating with people
·      Relaxed approach to pressurised situations with a genuine enjoyment of working at a fast pace, to tight deadlines in order to see tasks through to completion
·      An interest in the history and future of the Foundling Museum
·      Able to act with discretion and maintain professional confidentiality at all times
·      Confident in decision making and creative problem solving
 
Desirable
·      Experience of working within an historic building, venue or similar
·      One years’ demonstrable experience of organising events 
·      Experience managing budgets
·      Database knowledge
·      Knowledge of SEO influences
·      Experience of working within a London venue
·      An interest in history and art

Notes

Working pattern:
35 hours per week, 10:00 – 18:00, evenings, mornings and weekends as needed (time off in lieu typically offered for overtime, payment offered for excessive overtime)
